Accounting Clerk Job at Mystic Seaport Museum Inc
Goal:
The Accounting Clerk is responsible for accurate and timely entry of financial transactions into the Museum’s cloud-based accounting system and preparing reports. The position is in the office.
Responsibilities:
Process Accounts Payable
- Scan paper vendor invoices into the automated payables system;
- Assign invoices to appropriate responsible departments and personnel;
- Review GL expense coding, payment due date, 1099 status, and other invoice details;
- Monitor invoice approval process and follow up with budget managers regarding overdue payment approvals;
- Schedule payment processing in accordance with Museum policy;
- Maintain vendor records, including adding new vendors to the system(s) and information for 1099 vendors;
- Resolve AP questions with vendors and Museum department personnel.
- Provide vendors with MSM tax exemption forms and credit references, as needed.
Process Accounts Receivable and Payments
- Pick up daily revenue batch deposits from various departments;
- Verify and record department deposits in accounting system;
- Process payments received in finance office;
- Take deposits to bank.
Administrative Projects
- Pick up and process mail from internal mailroom;
- Manage hardcopy accounting records in organized file system.
- Assistance with annual audit;
- Other duties as assigned by CFO or Controller
