Job Duties & Responsibilities

· Reports directly to the Construction Cost Manager

· Work closely with subcontractors and vendors to assist with processing and payment of invoices

· Process check requests and expense reports as needed

· Accurately review, code, and process vendor invoices

· Perform monthly reconciliations

· Maintain a large number of vendor accounts and keeping up to date with correct contact information and W9 forms while staying in compliance with company policies and procedures

· Perform daily data entries associated with accounts payable

· Review and resolve invoice discrepancies

· Address and respond to vendor inquiries in a timely manner

· Additional duties will include assisting with incoming phone calls, email communications, greeting visitors, and other general duties as assigned

· Monitor and process AP email inbox

· Process overhead and direct job cost invoices

· Assist with organizing and maintaining office common areas

· Other duties and special projects as assigned

Job Requirements

  • Construction accounting / administrative experience highly preferred, but not required
  • Excellent organizational skills and relentless attention to detail
  • Must thrive in a deadline driven environment with accuracy and confidence
  • Excellent verbal, written, presentation, and communication skills
  • Resourceful decision-maker and creative problem-solving skills driven by solutions
  • Possesses a strong sense of confidence and has the ability to be an independent self-starter
  • Ability to understand and follow division processes and workflow
  • Ability to work well and maintain cooperative attitude through high-pressure situations
  • Excellent time-management skills and ability to multi-task and prioritize work while frequently interrupted by phone calls and questions on work in progress
  • Willing to learn, take direction, and take on any added responsibilities as needed
  • Must be dependable and a strong team player with the ability to collaborate with various personnel within and across departments at and at all levels of leadership

Work Schedule

· Flexible - General Start Time: 8:00 AM, Monday thru Friday

· In office fulltime M-F during training period

· In office 3 days per week minimum once training period complete

Compensation & Benefits

· $20.00 - $26.00 per Hour DOE
