  • Job Summary*

This position will perform administrative and operations functions exercising independent judgement and discretion, and have a high level of responsibility in scheduling visits with donors and prospective donors, assisting with preparing/submitting proposals, scheduling meetings and site visits, assisting with distributing communications, and assisting with logistics for donor-related events. Discretion, discernment, good judgement and confidentiality are of the utmost importance. The position requires a great deal of multi-tasking and is deadline-driven. In addition, this individual will be responsible for assisting with budget tracking for a diverse and dynamic unit in support of a myriad of high-profile projects and events that must run seamlessly, reflecting great attention to detail and a commitment to the highest quality possible.

  • Responsibilities*

Responsibilities include but are not limited to:

  • Assists the Associate Vice President for Philanthropy in the planning and execution of meetings, preparing/submitting proposals to foundations, corporations and individuals, assisting with site visits and donor-related events, facilitating and documenting donor communications, and more.
  • Outreach to AU alumni and donor prospects to include making phone calls and sending e-mails to obtain updated contact information and to help facilitate one-on-one meetings for philanthropy personnel through the U.S. Includes helping to prepare briefings and assemble materials for donor visits.
  • Schedules appointments, assists with travel arrangements, submits check requests, and handles conference registrations. Prepares and processes requisitions, purchase orders, and other office forms and documents. Manages supply and equipment inventory. Maintains calendars and communicates the activities for PAE Communications, Medical College of Georgia philanthropy team including Georgia Cancer Center and Foundation and Corporate Philanthropy. Attends and documents meeting follow up, as needed.
  • Works with CRM database in support of Philanthropy and Alumni Engagement donor documentation and contact information accuracy.
  • Schedules site visits and handles logistics for site visits with foundation, corporate and individual donors.
  • Works independently to compose high-level correspondence and assists with sending notes and cards to donors. Proofs correspondence and other communications. Researches information required to complete these tasks.
  • Provides occasional front desk coverage and serves as a backup receptionist for in person and telephone inquiries of the Philanthropy and Alumni Engagement department.
  • Assists with departmental budget tracking and handles accounting duties for PAE Communications, Medical College of Georgia philanthropy team including Georgia Cancer Center and Foundation and Corporate Philanthropy. Gathers fiscal data in support of developing the departmental budget and monitors budget throughout the year - providing timely reports for budget management purposes.

Required Qualifications*
Associates' degree from an accredited college or university in related field and four years progressively responsible experience in administration support positionsORHigh school diploma, GED, or equivalent and seven years progressively responsible experience in administrative support positions.

  • Preferred Qualifications*

Advanced degree in related field, self-motivated, self-directed, collegial, results-oriented. A team player and able to work non-traditional hours (mornings, nights, weekends) in support of events.

Ability to work independently to solve problems, handle confidential information, and navigate sensitive situations
Requires adaptability, good judgement and initiative
Excellent oral, written, and grammatical communications skills
Highly developed computer skills to include Word, Excel, PowerPoint and constituent related software

Excellent interpersonal, organizational skills, attention to detail, analytical abilities

  • Shift/Salary/Benefits*

Shift: Days, Monday - Friday
Pay Grade: 12
Salary: Minimum $15.06/hour - Midpoint $19.58/hour
Salary to be commensurate with qualifications of selected candidate within the established range (generally minimum-midpoint) of the position
