POSITION SUMMARY
This position works within the ERP system (Made2Manage) to obtain information, gives information to callers, prepares monthly and weekly sales reports, and performs other administrative tasks to support both the branch office and Virginia headquarters. This position is often the first point of contact for prospective customers as well as the main contact with outside sales staff.

JOB FUNCTIONS
Include but not limited to the following:
  • Route and respond to incoming mail, faxes, and email correspondence.
  • Enter sales orders into ERP system, both units and complimentary products.
  • Generate purchase orders from sales orders and transmit to supplier.
  • Complete requisitions for non-inventory purchases through the BAUER Portal.
  • Consolidate monthly and year-end sales reports for the Branch Office.
  • Order and maintain office supplies and arrange for facilities and office equipment maintenance.
  • Compose and type routine correspondence (labels, memos, envelopes, etc.)
  • Organize and maintain electronic file system
  • Process desktop deposits for any incoming customer payments.
  • Work with headquarters to update and maintain customer data files in ERP.
  • Compile and produce reports indicating monthly "Contract Usage" for the California Department of General Service (Cal Fire) as well as any other reporting required by state or local entities.
  • Create and track an inventory listing of all complimentary product demo equipment and Miscellaneous Inventory and submit to Accounting Manager monthly.

ESSENTIAL SKILLS AND EXPERIENCE

  • High school education or equivalent, with a minimum of three (3) years of experience in office administration.
  • Working knowledge of Microsoft Office products
  • Responsible and professional, with a strong customer service orientation.
  • Ability to organize, prioritize, execute, follow through, and get things done, both on an individual and in a team environment.
  • Must have valid driver’s license with positive driving record.
  • Regular and reliable attendance is critical.

VALUED BUT NOT REQUIRED SKILLS AND EXPERIENCE
  • Five or more years of experience in Office Administration
  • Associate’s degree in business administration
  • Made2Manage or other ERP system experience
  • Bilingual English/Spanish highly desirable
