Job Title: Administrative Assistant
Classification: Part-time
Department: Administration
Reports To: Borough Manager
Direct Reports: No supervisory responsibilities
Expected Work Hours: 4 Hours a day; 20 Hours a week
Salary Range: Competitive wage based on experience.

Position Summary
This new position provides administrative and secretarial support for the Borough Manager. Answers routine and non-routine correspondences and assembles confidential and sensitive information. Deals with a diverse group of external callers and visitors, as well as internal contacts at all levels of the borough. Independent judgment is required to plan, prioritize, and organize a diversified workload.

Duties and Responsibilities

  • Assist the Borough Manager in general activities and special projects as required or assigned.
  • Open the office building when necessary; pick up, sort, and distribute mail to borough officials.
  • Maintains records of water pumping, chlorine residuals with monthly reporting to DEP
  • Maintains and updates water, trash, and sewer billing records
  • Downloads and maintains quarterly readings for billing utilities.
  • Monitors online payments and accepts payments for utilities.
  • Deposits all funds when necessary.
  • Preparation and filing of any required government reporting documents, ie PennDOT, DEP, DCED
  • Order supplies and manage office supplies inventory.
  • Maintain borough website

Work Environment
This job operates in a professional office environment.

Physical Demands
The employee must be able to see, hear, speak, use the telephone, computer, copier, scanner, adding machine, and move at least 20 pounds from one location to another. This employee must be able to type and file in an organized manner.

Ability to bend, stoop, lift, push, and pull.
Ability to use both right and left hand for firm grasping, repetitive actions and fine manipulation including writing and typing.

Tasks may involve extended periods of time at a keyboard or workstation.

Qualifications
Minimum Qualifications: High School Diploma
Minimum Work Experience: One (1) year of customer oriented service
Preferred Education: Bachelor's Degree
Preferred Work Experience: Two (2) years in an admin support capacity

Required Competencies:
Must have good organizational skills to handle multi-tasking and be able to prepare written communication / reports competently.

  • Ability to use Microsoft Office, Adobe Acrobat, internet, and copier.
  • Ability to establish and maintain effective working relationships with individuals.
  • Exercise good judgment, courtesy, and tact in serving the public.
  • Basic knowledge / experience with computer desktop hardware and websites.
  • Must possess a valid PA Driver's License.
  • Must be able to be bonded.
  • Must pass a personal background investigation.

Knowledge, Skills, and Abilities:
Possess strong administrative and organizational skills.

  • Possess exceptional customer service skills with customers, outside agencies and Borough employees, both over the phone and in person.
  • Skill in working independently and following through with assignments with minimal direction.
  • Maintain knowledge and skills in bookkeeping and accounting, use of computer system and software, telephone system, office equipment, records management, data compilation and report generation.
  • Must be familiar with computer word processing and data processing software including the

Microsoft Office suite of applications and have excellent typing skills.

  • Ability to establish and maintain effective and cooperative working relationships with those contacted in the course of work.
  • Ability to juggle multiple projects with accuracy.
  • Ability to communicate effectively, verbally, and in writing.
  • Ability to read, update, and maintain various records and files.
  • Ability to manage time and workload effectively which includes planning, organizing, and prioritizing with attention to details.
  • Ability to deal with the public using tact and courtesy.
  • Ability to maintain confidentiality.
  • Ability to work a regularly scheduled work week approximately 20 hours of scheduled/assigned work.
  • Ability to maintain regular punctual attendance.
  • Willingness to work extra hours as assigned and to modify work hours.
  • Have positive work attitude.
  • Willingness to learn department rules, regulations, policies, procedures, and functions.
