Basic Function

The Administrative Assistant provides high-level clerical support to the Site Manager, HSE, Purchasing, and the Operations team by performing a variety of administrative duties and tasks that may include preparing reports and presentations, coordinating activities and events, data entry and SAP entry, management of onsite vendor programs, and other general office administrative duties.

Roles & Responsibilities

OFFICE ADMINISTRATION
  • Schedules, coordinates, welcomes and assists visitors at the sites. Ensures conference rooms are properly maintenance, cleaned, and necessary supplies and equipment are available and operating
  • Prepares agendas, meeting invites, and communications as directed by Site Manager
  • Formats reports and presentations for Site Manager
  • Performs general office administrative duties such as record keeping, maintenance of office supplies and supply areas, handling packages and mailings, coordinates office equipment maintenance. Ensures lobby area and office meetings rooms are properly cleaned, maintained, and stocked.
  • Supports Manufacturing, Production Scheduling, Raw Material Purchasing, Quality and Engineering as needed.


SITE ACTIVITIES & EVENTS
  • Manages employee appreciation program.
  • Coordinates and supports onsite activities including lunches, meetings, travel arrangements, corporate events and action days (i.e., Global Safety Day).
  • Chairperson for Community Involvement Team, manages and coordinates meetings, agendas, and events
  • Manages employee activity committee, coordinates meetings and agendas.


Performs other duties as assigned by site manager

Min. Qualifications

Education
  • High school diploma
  • Technical or Associates degree in relevant area of study and/or comparable experience

Work Experience
  • Office administrative or similar experience 3 years

Languages English, additional language preferred

  • Basic understanding of office equipment and systems
  • Experience working in a manufacturing environment
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Proficient in Microsoft Office Suite and related software
  • Proficient in data entry
