Healthcare Staffing Professionals has an immediate need for an Administrative Assistant II (AA II). The Administrative Assistant will prepare Grant Expenditures Reports, Grant Full Year Estimate Reports, and updates Grant Staffing Rosters. Coordinate assigned reports. The AA will also verify and confirm funding for the Online Requisition (OLR) requests, prepare Financial Status Report for Federal funding grants and prepares salary distribution based on the staffing allocation percentage.

The position will start immediately upon acceptance and employment clearance and is initially funded through 3/31/2023 with potential renewal.

Pay Rate-

$33.05/hr working 40 hours a week

Shifts: Onsite - Commerce, CA

M-F. 8:30 am - 5:00 pm.

Job Duties

- Prepare grant expenditures reports

- Prepare reimbursement claims to funding agencies, reconcile and and request monthly revenue transfers.

- Prepares salary distribution based on the staffing allocation percentage.

- Reviews contract encumbrance requests.

- Participates in the monthly grant expenditure meetings

- Perform special assignments

Minimum Qualifications Qualifications:

  • Two years of experience in a staff capacity analyzing and making recommendations for the solution of problems of organization, systems and procedures, program, budget or personnel; and
  • A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.

Desirable Qualifications:

  • Windows-based laptop or desktop device, with a speaker and mic;
  • Strong Excel and budget Management background
  • Reliable Wi-fi/internet access;
  • Ability to maintain a professional, positive attitude and work ethic;
  • Highly proficient in various computer programs, including Microsoft Word, Excel, PowerPoint, Outlook, Adobe Acrobat, and other specialized programs;
  • Excellent customer service, written and oral communication, organization, time management, and prioritization skills;
  • Ability to work independently and with co-workers;
  • Ability to set and adhere to deadlines;
  • Ability to interact professionally with culturally diverse individuals during a time of crisis and distress;
  • Excellent critical thinking and judgment skills; and
  • Detail oriented.
