Summary:

Goldbelt C6 is in search of an Administrative Assistant III.

Essential Job Functions:

  • Schedule conference calls/meetings/webinars, reserve/approve meeting space requests, and maintain Outlook calendars.
  • Provide logistical support for project meetings and assist staff with preparation of presentation materials for meetings and conferences.
  • Help with planning, logistics, and documentation of occasional meetings hosted at CDC (annual HAI/AR ELC recipients meeting; annual ARLN regional lab meeting) and elsewhere (regional epi/lab meetings).
  • Assist with communication needs as it relates to coordinating meeting notes, managing team folders maintained for communications, and branch wide announcements via email
  • Utilizing Windows-based applications which include MS Word, Excel, Outlook, and PowerPoint, provide program and administrative services including project reports which may be presented to others internal and external to CDC.
  • Serve as travel liaison with program staff, which includes providing travel request forms, submitting travel requests and travel vouchers for program in Concur.
  • Assist program with Conference travel requests
  • Submit Visitor access requests for program
  • Maintain files in accordance with records management policies and procedures.
  • Review incoming and outgoing correspondence and distribute to the appropriate person.
  • Maintain Office Supplies and request supplies as needed by program via SharePoint.
  • Provide general administrative support to include answering phones, monitoring conference room and general office equipment, and mail distribution.
  • Serve as Training documents liaison by providing training forms to program staff and tracking status of requests.
  • Enthusiastically serves customers and represents the laboratory well professionally

Necessary Skills and Knowledge:

  • Able to work well in a team and to manage a high throughput workload
  • Ability to meet fast turnaround times
  • Detail oriented with strong documentation skills
  • Must be committed to continuous improvement
  • Good verbal and written communication skills

Minimum Qualifications:

  • Bachelors degree in business administration
  • 3 - 8 years of experience
  • Experience with SharePoint, OneDrive, Excel, PowerPoint, Word, and Concur

Preferred Qualification:

  • Master’s degree in business administration
