About Us

IFEL was launched in 2002 as an independent not-for-profit organization. With a $25,000 planning grant from the Prudential Foundation and strategic alliances with NJIT Enterprise Development Center and Rutgers-Newark, IFEL embarked on a mission to develop a replicable business support model that would best serve the growth needs of small and minority- and women-owned businesses in Newark. During the planning phase, we developed our program model and operating procedures, established an internet presence and launched limited program services. In 2003 we received 501(c)(3) status from the IRS. In 2004, IFEL received funding from The Prudential Foundation, PNC Bank, Wachovia Foundation, and PSEG as founding contributors to our pilot effort.

September 2004 marked the launch of IFEL program services. Following the conclusion of a successful pilot program season, IFEL launched the 2005-06 program season with expanded outreach and program services.

Job Description

Title: Administrative Assistant/Support

This is a temporary, grant-funded position through 9/30/2023 subject to funding, and extending beyond this date.

Reporting Relationships

This position reports to: Client Service Program Manager

Objective of this Position:

The Institute for Entrepreneurial Leadership is a team-based supportive environment in which all employees are actively engaged in promoting the vision and development of the organization.

Administrative Support Assistants are responsible for creating efficiency and improving efficiency for their assigned business owners. Successful candidates must be tenacious self-starters who can anticipate needs and take initiative to solve problems independently.

Position Requirement

  • Reliable access to a desktop or laptop computer, stable high-speed internet, and video conferencing with working video and audio are required
  • Ability to work from the IFEL office in Newark, NJ
  • Must be able to attend early morning/evening/weekend meetings from time-to-time

Duties and Responsibilities

The Administrative Support Assistant will support a group of up to 25 small business clients. Each Assistant will perform the following tasks for the small businesses in their assigned portfolio:

  • Provides administrative assistance to a group of IFEL clients
  • Answers phone calls and provides superior customer/client assistance
  • Coordinates and schedules travel, meetings, and appointments
  • Responds to email, online and phone inquiries
  • Creates and edits professional documents, agendas, presentations
  • Records and distributes minutes or other meeting records
  • Retrieves information from records, email, minutes, and other related documents;
  • Prepares written summaries of data and research
  • Creates and maintains filing and recordkeeping systems
  • Assist with social media campaigns and program announcements
  • Maintains office supplies and coordinates maintenance of office equipment
  • Performs other related duties as assigned.

Required Skills and Abilities

  • Excellent verbal and written communication skills
  • Proven experience in an administrative support role
  • Demonstrated ability to meet deadlines in a fast-paced, quickly changing environment
  • Ability to complete projects and tasks with little direction
  • Ability to manage multiple tasks and deliverables
  • Outstanding knowledge and use of GSuite/Microsoft Office
  • Highly organized with great time management skills
  • A high degree of comfort with technology.

Education and Experience

  • Associate’s degree required; Bachelor’s degree preferred.
  • Three to five years of experience in an administrative role.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift and carry boxes and other materials with a weight up to 25 lbs.

  • The Administrative Support Assistant will be evaluated based on meeting the essential job responsibilities as described.

Compensation

  • Status: Salary, Non-exempt
  • $26,520 - $31,200 based on experience
