Job Description
GENERAL STATEMENT OF FUNCTION: The incumbent is responsible for administrative assistant duties relative to the mission of the College and the purpose of the Vice President’s Office of the Perkinston Campus and George County Center. The incumbent will report to the Vice President of the Perkinston Campus and George County Center. Employees must follow established policies and procedures and are encouraged to participate in appropriate organizations and activities.

Job Duties
1. Provide administrative/clerical support to the office of the Vice President for the Perkinston Campus and George County Center.
2. Exhibit a high level of confidentiality.
3. Demonstrate exceptional adherence to work schedules and policies.
4. Independently compose and type correspondence involving complex, sensitive, and non-routine matters as needed.
5. Interface well with all levels of college leadership, faculty, staff, students, members of the community, and other stakeholders.
6. Provide an advanced level of work including complete understanding of Ellucian Banner software and proficiency in the Microsoft Office Suite; to include, Microsoft Word, Access, Excel and PowerPoint.
7. Process telephone calls in an effective and efficient manner.
8. Discern and communicate matters of importance effectively and timely to the vice president using the most proficient form of communication.
9. Assist in the monitoring of expenditures and revenues as needed.
10. Assist in the maintenance of an accurate and complete filing system.
11. Assist in scheduling, coordination and arrangements (refreshments, meals, equipment, etc.) for meetings and events which fall under the vice president.
12. Assist in the supervision of work-study students.
13. Assist with the preparation of reports, as assigned, for the Board of Trustees.
14. Process all incoming and outgoing mail through an electronic mail log system.
15. Process travel requests for both vehicle and bus transport for the Perkinston Campus and George County Center.
16. Process campus activity requests for the Perkinston Campus and George County Center.
17. Maintain campus duty list and subsequent notifications.
18. Input approved monthly leave for the Vice President’s office and appointed administration using Ellucian Banner software.
19. Consistently monitor office supply inventory to anticipate needed supplies and/or services and place orders with the appropriate approval.
20. Maintain records (files, listings and directory information) for full-time and part-time employees for the Perkinston Campus and George County Center.
21. Assist in processing of monthly procurement card purchases as needed.
22. Process check requests and purchase orders as needed.
23. Assist in annual inventory for office, equipment transfers, and transition of surplus items.
24. Assist in planning and implementing routine responsibilities and functions.
25. Prepare specification for quotes and bid tabulations as required.
26. Perform duties independently and exercise a high degree of initiative in determining the approach/action to take in routine and non-routine situations.
27. Meet employee development units as required, including necessary training for job-related duties.
28. Perform other duties as assigned by the Vice President or appropriate personnel.

Mandatory Qualifications
(M1) Minimum of an Associate Degree in Business and Office Technology or related field from a regionally accredited institution of higher education. (M2) Two years administrative assistant or office related experience. (M3) Training and/or experience in the operation of personal computers, to include proficiency in the Microsoft Office Suite, E-mail, and the Internet. (M4) Excellent organizational and time-management skills. (M5) Excellent written, speaking, and interpersonal communication skills.

Desirable Qualifications
(D1) Bachelor’s Degree in Business, Education, or related field from a regionally accredited institution of higher education. (D2) Experience in a community/junior college setting. (D3) Demonstrated successful experience in meeting and dealing with the public. (D4) Experience in working with a wide variety of individuals and groups in varying degrees of professional situations. (D5) Proficiency with Ellucian Banner Software.
