Staff Position Description
Position: Administrative Associate
Reports to: Managing Director
Status: Part-Time/Flexible
THE POSITION
The Administrative Associate is an important member of Opera Saratoga’s core office staff. The ideal candidate is one who is familiar with nonprofit performing arts administration, has a strong work ethic, attention to detail, and is a team player. This is a part-time position, with a maximum workload of 20 hours per week.
RESPONSIBILITIES, may include, but not be limited to the following:
- Serve as first point of contact for the office, including greeting patrons/guests, collecting mail & package, as well answering telephone calls;
- Support the management staff with administrative projects;
- Monitor office supplies and keep stocked as needed;
- Maintain office equipment/act as liaison with equipment manufacturers/technicians when needed;
- Manage and maintain Opera Saratoga’s website;
- Coordinate database management with Director of Development;
- Coordinate earned income mailings, including volunteer coordination and delivery to post office;
- Act as ticket liaison with performance venues and/or ticket vendors working with Opera Saratoga;
- Support in compiling information/biographies/media for the Festival Program Book;
- Maintain an archive of company print and online promotional materials and reviews;
- Provide information technology assistance to staff as possible;
- Attend/Assist at company performances, events, and functions;
- Attend meetings of the Board of Directors; and
- Other duties and responsibilities as assigned.
QUALIFICATIONS AND REQUIRED SKILLS
- Strong organizational skills
- Capacity to solve problems and engage in creative thinking to overcome challenges
- Maturity and excellent interpersonal, teamwork, and diplomacy skills
- Proven ability to work independently and collaboratively in a fast paced, rapidly changing environment
- Excellent computer software skills, including Microsoft Word, Excel, and PowerPoint as well as database management
- Effective and courteous interpersonal, oral, and written communication skills
- Passionate belief in the power of music to positively impact people’s lives
- Driver’s License required
OTHER DESIRED SKILLS
- Understanding of artistic process
- HTML and web management software (Squarespace)
- Graphic Design Skills
COMPENSATION AND BENEFITS
Hourly position: $20/hour, with a maximum of 20 hours per week. Flexible schedule to be determined on a monthly basis with Managing Director. Some night and weekend availability is necessary, but known in advance. Benefits include accrued paid time off and paid holidays.
