We’re looking for an amazing Administrative Coordinator to fill this role, which is based in Anchorage, AK. You’ll be providing support to our Facilities, Transportation, Maintenance, and Safety teams.

Responsibilities:

  • Provides administrative and clerical support to the Facilities, Fleet, Maintenance, and Safety Team.
  • Performs administrative tasks to support both capital and maintenance projects, including but not limited to: issuing purchase orders, processing invoices, logging expenses, and vendor maintenance.
  • Regularly researches and troubleshoots invoicing and payment issues with our vendor accounts.
  • Tracks and processes state and federal registration renewals for all fleet vehicles.
  • Maintains the master files of company vehicle titles ensuring they are: correct, individually labeled, properly filed, and secure.
  • Assists with preparing safety and compliance related registrations and reporting as needed.
  • Performs administrative tasks for the fleet fuel card program such as processing invoices, running analysis reports and assisting with account maintenance.
  • Performs a variety of administrative tasks as needed within the various fleet and facilities software applications.
  • Generates and provides data regularly to assist with departmental budgets and manual accruals.
  • Prepares and tracks documents relating to asset sales and disposals.
  • Coordinates business travel arrangements for team management as needed.
  • Assists team management with submitting expense reports and reconciling purchasing card transactions.
  • Does scheduling and event planning for departmental meetings and special events.
  • Executes other special projects, tasks and assignments as assigned to support departmental operations.

Requirements:

  • This job normally requires a level of knowledge or equivalent experience which would be acquired through the completion of an Associate’s degree. Demonstration of directly related work experience may be considered in lieu of the educational requirement.
  • Must have a valid state driver’s license with a clean driving record. A Motor Vehicle Report (MVR) will be requested.
  • Must pass a pre-employment background check.
  • Participates in HAP’s sustainability program, aka “Sustain Alaska & the Yukon”, and efforts by actively recycling (where available), reducing waste, and educating guests about our commitment to the environment.
  • Participate in HAP’s safety culture to ensure a safe workplace for all team members and a safe vacation experience for all guests.

Skills, Abilities and Knowledge:

  • Widespread knowledge of various computer applications, including Word and Excel, with a strong aptitude to learn new systems.
  • Ability to prioritize work, maintain attention to time constraints, while working in a team or group environment.
  • Ability to clearly communicate, verbally and in writing, with all levels of employees, management, and customers.
  • Ability to work in a fast-paced environment with multiple tasks and external influences.
  • Demonstrate an ability to maintain confidentiality.
  • Ability to communicate, coordinate and collaborate with multiple divisions, departments, management, guests, and staff.
  • Ability to support and comply with company policies, procedures, and guidelines including all company health and safety standards.
