Job Summary:

The Administrative/Maintenance Operational Coordinatorwill provide oversight with the daily operations of the Foxfire Condominium Association Office. In addition, coordinate weekly tasks/assignments for maintenance crew, contractors and vendors. This is a position for a Contingent Worker, not a Contract Employee and requires your own Insurance.

Responsibilities for Administrative/Maintenance Operational Coordinator:

ASSISTANCE TO THE EXECUTIVE BOARD

  • Provide assistance to maintenance staff and Executive Board Members as needed
  • Create, prepare, and deliver reports to the Executive Board
  • Receive and forward communications to Executive Board Members
  • Organize schedule Board approved meetings for the Community
  • Ensure conference rooms and other meeting spaces are prepared prior to use
  • As directed by the Executive Board, provide notice of occupancy policies R&R and procedures by confronting violators.
  • Prepares reports by collecting, analyzing, and summarizing data and trends.
  • Assist Executive Board with special projects and other tasks as assigned
  • Assist Executive Board with special projects such as planning renovations, contracting with landscaping and snow removal service

DAILY OFFICE RESPONSIBILITIES

  • Coordinate and work with Treasurer to process invoices, make payments, and track receipts
  • Undertake basic bookkeeping tasks, issue invoices, process checks, money orders and prepare check deposit slips for bank deposit etc..
  • Maintaining files and records so they remain updated and easily accessible
  • Answering the phone to take messages or redirecting calls to appropriate HOA Officers
  • Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
  • Monitor stocks of office and maintenance supplies (paper clips, stationery etc.) and report when there are shortages
  • Maintains property rentals by ensuring that tenants are registered and following the Associations rules and regulations
  • Market the property by advertising units for sale on the Foxfire website. Encourage homeowner to write positive testimonies to why Foxfire is a great place to live
  • As directed by the Executive Board provide one time “Occupancy Fee” from homeowners who are allowed to rent their units

MAINTENANCE

  • Prepare common area work schedule maintenance and real estate tax reconciliations
  • As directed by the Executive Board, provide Maintenance Workers their weekly task assignments such as cleaning the Club House, offices, and towers. Maintain the exterior of residential buildings. Lawn mowing and light snow removal etc.
  • As Directed by the Executive Board, scheduled maintenance repairs and collect stakeholders satisfaction surveys to measure outcomes.
  • Secures and maintains security devices, establishing and enforcing precautionary policies and procedures.
  • Coordinate Executive Board decisions to resolve homeowners complaints, rules of occupancy and organize inspections of vacant units.
  • At the direction of the Executive Board respond to emergencies and emergency calls.
  • Support organizational goals by accepting assignments to accomplish new requests and exploring opportunities to add value to Association objectives.

QUALIFICATIONS:

  • Associate's degree in office administration may be preferred
  • Intermediate level of experience with productivity tools, such as Microsoft Office Suite or Gmail Suite
  • Familiarity with office equipment, such as fax machines, copy machines, and phone systems
  • Comfort using business email system, such as Microsoft Outlook or Gmail
  • Highly organized and able to create an organized and easy-to-follow system for others
  • Ability to handle multiple tasks and duties simultaneously
  • Independently motivated, with the ability to take on tasks and duties without immediate direction
  • Strong communication and negotiation skills
  • Familiarity with applicable local, state, and federal laws and regulations
  • Strong organizational skills

Job Types: Part-time, Contract

Pay: From $18.00 per hour

Schedule:

  • Day shift
  • Monday to Friday
