Center for Information Technology has an exciting opportunity for a highly qualified Administrative Secretary I to join a dynamic, talented, and innovative team of technology professionals. The successful candidate will join Oberlin at a time of significant positive change. Working with the new Chief Information Officer and other members of the CIT management team to shape Oberlin digital transformation and CIT organizational strategy. This is a full-time (1.0 FTE), 12-month continuing administrative assistant position working 37.5 hours per week, reporting to the Chief Information Officer.

The Center for Information Technology is the central provider of technology and a key strategic partner on all digital-related initiatives at Oberlin, including enterprise infrastructure, applications, educational technology, information security, telecommunication services, and end-user and systems support. The Chief Information Officer (CIO) supervises six direct reports a staff of around 40 information technology professionals.

Responsibilities
The right candidate will have interest, passion, and zeal to learn technology with the ability to liaise between technology staff and no technology college departments. Will also possess exceptional interpersonal and organizational skills; ability to handle multiple, time-sensitive, complex tasks with great attention to confidentiality and detail; excellent verbal communication and writing skills; ability to exercise independent judgment, demonstrate flexibility as priorities change, responsive to internal and external requests, and proactively resolve issues.
Under general supervision the secretary at this level may assume some of the more difficult clerical and quasi-administrative activities, which would otherwise require the attention of the supervisor. The secretary applies a good knowledge of the organization of the office, of its established procedures and practices, and the ability to establish and maintain files, records, and procedures. The supervisor may assist the secretary with special assignments

Essential Job Functions
  • Screen telephone calls, visitors, and receive and distribute mail and faxes
  • Personally respond to requests for information or complaints concerning office procedures; determine which requests should be handled by the supervisor, appropriate staff members, or other offices
  • Prepare and sign routine non-technical correspondence in own or supervisor’s name, draft non-routine correspondence
  • Schedule appointments; make arrangements for conferences and meetings; assemble established background materials. May attend meetings and record and report on the proceedings
  • Review and revise outgoing materials and correspondence for internal consistency and assure that proper clearances have been obtained when needed
  • Maintain departmental or project budgets and accounts including payment of invoices, reimbursements and related budget assistance
  • Initiate and prepare forms and records including payroll, personnel admissions or student grades. Coordinate personnel and administrative forms for the office and forward for processing
  • Order supplies
  • Facilitate new employee onboarding and oversee student employees

Marginal Job Functions

Required Qualifications
High school diploma, 3-5 years office experience. Thorough knowledge of proper grammar, spelling and punctuation, office methods, procedures and practices. Keyboarding speed of 50 wpm. Proficiency in word processing/spreadsheet programs. Familiarity with database software. Strong interpersonal skills. Attention to detail with emphasis on accuracy.

Desired Qualifications

Compensation
This is a pay grade 4 Administrative Assistant position and is to be filled at an hourly rate of $21.54 or at the appropriate transfer rate for internal candidates. This includes an excellent benefits package.
