Lakeview Health Center & Assisted Living in West Salem, WI has an Assisted Living Specialist position performing a variety of administrative tasks and supporting our assisted living communities. This full-time position working Monday - Friday 8:00 am to 4:30 pm, in person with a rotation of being on call for approximately one weekend per month.

Essential Job Functions

Schedules assisted living staff, problem-solves and works independently to ensure adequate coverage according to guidelines. Replaces sick leave call-ins according to facility staff patterns and reviews time off requests per policies, under the direction of the Community Living Supervisor. Acts with integrity and builds trust through demonstrated respect, humility and honesty. Treats other with dignity. Encourages open communication. Maintains staffing records in accordance with administrative guidelines and policies. Performs quality assurance activities such as chart reviews, monitors documentation for compliance and completion, and other tasks. Schedules and organizes staff training; tracks attendance; assists in establishing training curriculum. Assists in intake, referrals, and admissions process. Collaborates with payroll to ensure staffing hours are accurate to submit payroll. Assists with recruitment, interviewing and making hiring decisions in conjunction with Community Living Supervisor. Coordinates and assists with onboarding of new employees. Provides on-call service for weekend/after hours (assigned on a rotating basis). Supports Household Coordinator in household duties and may provide assistance to residents of the facility. Assists in maintaining resident records and reports. Organizes and disseminates documents, reports and letters. Prepares and maintains various management reports and other correspondence and mailings. Coordinates management meetings and functions. Uses a variety of internal software systems. Involving data entry, creating reports, and other computer functions. Assists with survey readiness activities, policy/procedure review, and other tasks as assigned. Assists in grievance and complaint investigations and resolution. Maintains skill and competence levels as policies and regulations change by attending department/staff meetings and by participating in continuing training as required and appropriate. Work hours sometimes are on weekends, evenings and holidays.

Knowledge, Skills and Abilities

  • Knowledge of assisted living regulations.
  • Ability to communicate effectively orally and in writing.
  • Ability to exercise judgement and discretion in the application and interpretation of departmental policies.
  • Ability to plan and organize work independently and prioritize duties according to urgency.
  • Ability to use a computer with proficiency in Microsoft Office Suite to include email and other software programs.
  • Ability to compile data/documentation and provide accurate and understandable reports.
  • Ability to accept, adapt and adjust to changes.
  • Ability to effectively work with diverse populations.

Training, Experience and Other Requirements

  • Associate Degree in Business, Human Services or related fields.
  • Preference for one year experience working in a Community Services setting or in the Human Services field.
  • Preference for two years of general office experience.
  • May consider other relevant combinations of education and experience that provide equivalent knowledge, skills and abilities.
  • Must pass criminal record check as required by the Wisconsin Caregivers Law.
