JOB SUMMARY

The Associate Director of Faculty Operations provides administrative leadership and customer service support to Academic Affairs leadership and the faculty of Hodges University. This position requires competence, skill, organization, independent thinking, flexibility, excellent interpersonal skills, self-motivation, and the ability to manage complex projects with competing deadlines and work efficiently with all levels of the University.

The Associate Director of Faculty Operations is responsible for managing faculty qualification credentialing documentation used for accreditation and course scheduling, including evaluating faculty members’ academic transcripts to determine academic qualification, assisting with faculty recruitment and selection, training compliance, and processing required documentation. The successful candidate will also manage the faculty onboarding and continuing education processes.

DUTIES AND RESPONSIBILITIES

Under the direction of the EVP of Academic Affairs & Provost and the Sr. Director of the CAE, the Faculty Coordinator will work collaboratively with faculty and staff:

  • Manages Faculty Qualification Credentialing Documentation
  • Adheres to the Faculty File Policy to meet compliance requirements, including building the initial faculty file for new faculty candidates, and tracking and aligning items in each faculty member’s faculty file.
  • Verifies all faculty qualification information provided by faculty candidates and their degree granting institutions and documents supporting materials following strict guidelines to process official transcripts, including scripts and mailed versions issued to the institution.
  • Supports Academic Affairs leadership by using independent judgement to determine all courses a faculty member and new faculty candidate is approved to teach and the level of academic qualification classification (degree in-field, 18 or more graduate semester hours in field, etc.) of the faculty member.
  • Works with Academic Affairs leadership to create and maintain a list of eligible adjunct faculty.
  • Maintains University alignment to regional and programmatic accreditors’ faculty-related requirements or standards, including reviewing and proposing revisions to the Faculty File Policy as necessary to ensure alignment with accreditor expectations as well as internal and external audit feedback.
  • Manages Faculty Onboarding and Continuing Education Process
  • Coordinates onboarding procedures for new faculty candidates, including acquisition of instructional materials, systems set-up, and training.
  • Processes faculty enrollment in new faculty orientation and continuing education training as the CAE/University requires.
  • Creates a variety of instructional and operational materials to support clear communication to enhance faculty understanding of their expectations and University initiatives and changes.
  • Provides Administrative Leadership and Customer Service Support
  • Provides highly responsible and complex administrative support to Faculty Affairs leadership.
  • Communicates with Program Directors and Faculty about late submission of grades and attendance.
  • Performs other duties and responsibilities as assigned.

EDUCATION & EXPERIENCE (REQUIRED)

  • Master’s degree in a relevant discipline
  • Three years of experience working with administrative processes, or combination of education and relevant experience.
