POSITION DESCRIPTION:

ULI–the Urban Land Institute is a 501(c)(3) nonprofit research and education organization supported by its members. Founded in 1936, the Institute has more than 45,000 members worldwide representing the entire spectrum of land use and real estate development disciplines working in private enterprise and public service.

ULI district councils deliver the Institute’s mission at the local level by providing members with education, networking, and opportunities to give back to the community. With over 2,100 members across the Bay Area, ULI San Francisco (ULI SF) represents one of the Institute’s largest district councils and is the preeminent local organization focused on creating and sustaining communities through wise land use, development, and redevelopment decisions.

The closely knit and high-performing team of five people works directly with our members, who include high-level business professionals, public officials, corporate executives, and senior members of the real estate and land use community, to help facilitate and move the needle on issues that are of the most importance to ULI SF.

As a part of the district council team, the Associate serves as a liaison among ULI headquarters, district council staff, ULI San Francisco members, and ULI San Francisco sponsor firms. The Associate is often the first point of contact for the organization, so it is imperative that they be courteous and professional.

The ULI SF team is currently working in a hybrid environment with 1-3 days a week in-person at our San Francisco office. Attendance in person at our office and at events will be required. All ULI staff must be fully vaccinated against COVID-19.

The salary range for this position has been set at $55,000 to $58,000. Actual salaries will vary based on various factors including but not limited to experience, education, skills and other job-related factors. The range listed is just one component of ULI’s total compensation package for employees which includes a full and competitive benefits package.


SPECIFIC RESPONSIBILITIES:

The Associate is tasked with supporting the Executive Director and district council staff in operational support, committee coordination, event execution, district council finances, and supporting our robust UrbanPlan program.

Administrative, Communications, and Operations Support

The Associate works closely with the Executive Director (ED) and district council staff to ensure smooth operations of the district council, including the following activities:

  • Managing and responding to phone/email inquiries from the main ULI San Francisco phone line and inbox.
  • Updating internal program and events calendar.
  • Using ULI database and reporting software to produce reports for the ED and other staff as needed.
  • Maintaining and ordering office supplies.
  • Coordinating with remote ULI IT staff and IT contractors to troubleshoot and resolve IT issues.

ULI Programs Committee Coordination and Event Support

ULI San Francisco’s various programming committees provide thought leadership, facilitate relationship building, and educate ULI’s San Francisco Bay Area members through high-quality educational programs. The ULI SF Associate will support several member committees in the development and implementation of events, socials, and tours that promote and further ULI’s mission.

Tasks include:

  • Coordinating various committee meetings including scheduling and preparing agendas.
  • Assisting committees in producing and implementing events and programs such as panels, tours, socials, and more.
  • Preparing committee budget templates and tracking program budgets.
  • For in-person events, formatting and printing on-site registration forms, badges, and other materials.
  • For virtual events, coordinating all aspects of Zoom meetings and webinars.
  • Planning and executing the annual San Francisco Fall Meeting reception.
  • Assisting in event planning and logistics including setup, execution, breakdown, invoicing, payments, and venue and vendor management.

UrbanPlan (UP)

UrbanPlan is a project-based learning curriculum unit for high schools, universities, public agencies, and non-profit organizations. Bringing together disciplines such as economics, city government, real estate and urban planning, UrbanPlan engages students, elected or appointed officials, and community members to consider the myriad of complex decisions that shape our built environment. The ULI SF Associate will project manage the administration and operations of ULI SF UrbanPlan program, in close coordination with the Executive Director and UrbanPlan contractor. ULI SF has the largest program in the country.

Tasks include:

  • Working with UP Contractor and Executive Director to finalize the classroom schedule each semester and ensure online classroom scheduler is updated.
  • Ensuring all volunteer sessions are filled. Fill in as a classroom volunteer on an as-needed basis.
  • Managing the UP Committee, which has oversight of the UP program, to:
  • Analyze data on volunteer participation.
  • Recruit new volunteers to trainings and convert trainees to active classroom volunteers.
  • Acting as primary point of contact with UP team at ULI headquarters including fulfilling requests for data and information.
  • Working with Executive Director on the UP annual budget.
  • Managing, producing, and maintaining all the UP documents and supplies.

Local Product Councils

The ULI SF Local Product Councils (LPCs) provide an opportunity for members to meet in a peer-to-peer environment to share and discuss issues that real estate and land use professionals face on a daily basis. Currently, ULI SF hosts Residential, Commercial, and Innovation Local Product Councils. The ULI SF Associate will support the planning and delivery of content and meetings.

Tasks include:

  • Working closely with other ULI SF staff to plan the logistics of six half-day, content-rich meetings per year (three in the spring and three in the fall).
  • Support all program logistics and strive to stay within budget.
  • Ensuring that dues payments, rosters, contact information for the LPCs are accurate and up to date.
  • Attend and support all six LPC meetings by assisting with set-up, registration, audio visual (as needed), and any other needed day of support.

Marketing & Communications

Coordinate with ULI SF staff to promote and market district council programs and initiatives.

Tasks include:

  • Updating ULI SF website and creating blog posts
  • Coordinating the production of the ULI SF annual impact report, including data gathering, writing, and management of graphic designer.


QUALIFICATIONS:

Strong candidates for this position will be highly organized, detail-oriented, obsessed with accuracy, effective multitaskers, and able to work independently in a fast-paced environment.

Specific qualifications include:

  • 0-2 years of related experience.
  • Prior experience in program or event planning desired.
  • Demonstrated interest in land use and urban development preferred.
  • Familiarity with Bay Area real estate and land use industry a plus.
  • Ability to prioritize and handle multiple responsibilities concurrently with responsible follow- through.
  • Excellent professional oral and written communication and interpersonal skills.
  • Ability to work with business and public-sector executives.
  • Self-motivated, demonstrating meticulous attention to both details and deadlines.
  • Fluent/proficient computer skills and strong aptitude with applications like Microsoft Office and Google Drive are required. Design skills (Adobe Creative Suite) and website software (WordPress and basic HTML) a plus.
  • Ability to attend ULI events (in the early morning or evening) throughout the region.
  • Ability to lift 30 pounds is required.
  • Must be fully vaccinated against COVID-19.
