Summer Institute for the Gifted is looking for a Client Services Office Manager to provide administrative and client-focused support to all staff, students, and the program during our 3 week elementary summer progam on campus at Emory University.

Time: Monday - Friday 8:00am - 5:00pm
Dates: Friday June 23 - Friday July 14 (must be available all days for the 3 week period)

Essential Functions

  • Adheres to policies and procedures as outlined in the Employee Handbook.
  • Completes all pre-program responsibilities: Attends and participates in the staff orientations prior to student arrival.
  • Assists with the coordination and implementation of parent orientation and student registration.
  • Implements the organization and set-up of the office, as well as set-up and unpacking of all session materials and supplies.
  • Assists with the coordination and implementation of parent orientation and student registration prior to the start of the program and on the opening day of the program.
  • Assists Director with bookkeeping and financial records for program. In consultation with Director, authorizes all credit card expenses.
  • Coordinates the acquisition and purchase of office, academic, and program supplies.
  • Acts as the liaison to students/families with our “Home Office” and any special assistance they may require.
  • Work to create an on-campus culture of putting the customer (student) first.
  • Respond quickly to customer inquiries via phone, in-person, and/or email.
  • Greets and directs visitors to the program, answers telephone calls, and provides administrative support to the Director or other staff members, students, parents, and administrative office.
  • Provides overall administrative support for the administrators on campus.
  • Provides training, supervision, and information sharing as needed in the administrative office.
  • Utilizes the Salesforce to document student on-campus details and incidents that may occur.
  • Keeps accurate, up-to-the-minute account of students checking in and out of the program; oversees attendance/presence on program..
  • Receives and communicates telephone messages to staff, parents, and students.
  • Assists with the overall closing of campus, including packing up supplies in the inventory pod.
  • Demonstrates overall professionalism and a friendly, helpful, and positive attitude.

  • Comfortable using Microsoft Office (Word, Outlook, Excel, PowerPoint)
  • The ability to assesses situations accurately and determine appropriate action
  • Work experience in administrative procedures and/or an administrative capacity within academic setting or recreational setting.

Position Type / Expected hours of work / Travel

  • This role is required to be on campus, Monday through Friday, from the hours of
  • 8:00 a.m. until 5:00 p.m.
  • There could be additional hours of work outside of these including pre, during, and post program.
  • This role is expected to commute to and from program location daily.
