The Clinician Scheduling Specialist will plan, implement and lead clinical scheduling program operations for assigned areas. To do this they will lead master schedules, optimize complex scheduling software, and meet regularly with appropriate leadership to strategically support longer term schedule planning and management!
Key responsibilities include, but are not limited to:
- Develops, implements and maintains schedules within encouraged timelines for assigned provider groups. Interprets and applies complex scheduling policies and procedures, such as which providers can be assigned to which clinical sites, requirements related to call and post call days, etc.
- Provides updates on progress and challenges in building longer-term schedule and meeting achievements.
- Triages requests for non-clinical time and schedule conflicts. Responds promptly, expertly, and patiently to provider inquiries.
- Works closely with assigned providers (APP’s, physicians, etc.) when crafting or editing schedule. Maintains appropriate documentation, statistics, logs, and files as the need arises.
- Participates in regular meetings with QGenda staff to identify and remediate issues with the QGenda platform.
- Identifies, communicates, and supervises resolution of any issues.
- Facilitate creation of new tasks, rules, and users when appropriate; edit frequently changing FTE information; triage errors; publish schedule; run automations and build reports; pull data, etc.
- Appropriately prioritizes and promptly raises issues, resolution options and recommended solution to the attention of QGenda System Manager.
Minimum Qualifications:
- BA/BS degree with 3-5 years of experience in a clinical scheduling, staffing coordinator position, related administrative coordination function or project management or Associate’s degree plus a total of 5 of experience
- Advanced digital literacy including knowledge and experience using a scheduling platform (QGenda preferred), Outlook, Google, Microsoft Word, Excel, and Powerpoint. Ability to use and assist with fully applying mobile applications.
- Strong attention to detail and strict adherence to deadlines.
- Strong interpersonal skills with the ability to plan work and to prioritize contending tasks appropriately.
- Excellent oral and written communication skills. Ability to work with faculty and staff in a highly professional manner.
- Consistent track record to exercise a high degree of initiative, judgment, discretion, and decision-making to achieve organizational objections.

Position will be onsite for training for the 1st 3 months, and then will transition to hybrid working after that.**
