JOB OVERVIEW

The Data Associate serves as a data representative for Pecos Children’s Center (PCC), an Influx Care Facility (ICF), for unaccompanied minors in Pecos, TX. The associate will serve a vital data support role via scanning, entering and organizing information across the full life cycle of a child in care. The ability to work 12-13 hours days in a remote and secure location is required.

ESSENTIAL JOB RESPONSIBILITIES:

  • Scanning and uploading government-mandated documents relevant to child health into relevant databases
  • Authoring, publishing and distributing sensitive incident reports related to staff and/or minors on site
  • Data migration
  • Downloading and uploading documents to appropriate locations in conjunction with other data team members in order to create and aid in the creation of multiple reports using multiple data tools
  • Ensuring data integrity within all databases and tools utilized
  • Continually monitor scope and necessity of access to sensitive data across departments
  • Assist with administrative lifecycle of staff background checks
  • Using data systems to reduce inefficiencies and duplicate data entry, where possible
  • Aid in case management processes in coordination with embedded case management department leadership
  • Aid in medical records data processes in coordination with medical records department leadership
  • Aid in planning, procurement and staff training for relevant software programs to aid in collection and production of data
  • Aid in planning, procurement and staff training for relevant physical assets/hardware (copiers, scanners, printers, computers, phones, scanners, etc) to aid in collection and production of data
  • Participate in rapid response teams when necessary to meet data entry and integrity requirements
  • Other duties as assigned

ESSENTIAL QUALIFICATIONS:

EDUCATION: AS/AA in computer science, economics, data science, business systems or related field, or equivalent work experience in a related field. Work experience will substitute year for year, i.e. 1 year of work experience in a related position equals 1 year of education.

ORGANIZATION: Ability to demonstrate the ability to keep various on-going projects organized and files maintained accurately. High levels of concentration, internal drive, and memory required. Requires good time management practices and the ability to meet multiple deadlines. Ability to accurately enter information into multiple data collection applications.

PLANNING: Ability to think long term; up to one year in advance. Knowledge of project management processes and best practices. Ability to manage multiple competing priorities and deadlines. Ability to follow policies as it relates to projects and planning.

TECHNICAL: Ability to develop and comprehend numerical and statistical data analysis. Experience administrating and creating Excel spreadsheets, specifically tracking processes using spreadsheets. Experience with creating documents using Adobe, Mural, Canva, or similar graphic interface tool. Willingness and ability to learn new technology, arithmetic operations, and processes. A healthy curiosity for technological knowledge along with a solid foundation of existing knowledge of Microsoft applications and data collection. Knowledge of ORR policy and procedures a plus.

EXPERIENCE:

  • Minimum of intermediate Microsoft excel skills, to include sorting, filtering, pivot tables, vlookup and conditional Excel formulas, as well as general spreadsheet building
  • Ability to demonstrate experience using critical thinking acumen to assess, ask appropriate follow-up questions and ultimately document events and activities for governmental reporting
  • Data entry experience required
  • High level of comfort navigating computers and technology in general
  • Strong work ethic with ability to work on projects independently and within small teams for prolonged periods of time
  • Ability to demonstrate mastering a new technology or complex process in a period of less than a month

PREFERRED KNOWLEDGE, SKILLS, and ABILITIES:

  • Bilingual English/Spanish. Some knowledge of PowerQuery or programming language

  • In person at Pecos Children’s Center

OTHER: Operational needs require flexibility including but not limited to schedule changes and or operational changes.
