Responsibilities
The Dispatcher is responsible for managing the current day’s service schedule and move calls around between technicians as needed. Also, to make sure all SVR work orders at the end of the day have been closed out with the correct call type so accurate reports, Spiffs and future work can be performed in a timely manner. Providing exceptional customer service and facilitating technicians' work routes.
- Give each technician the details of the service/maintenance call they are scheduled to run (“dispatch” them)
- After each call, capture all the information from the technician regarding the results of the call (“debrief them”)
- If the technician is running “ahead of” or “behind” schedule, the Dispatch Coordinator will contact the customer to inform them; always calling the customer when the tech is on the way.
- Pays special attention to the geography of the calls and that the calls are “dispatched” efficiently
- Schedule all service calls and forward sales leads coming from technicians calling in from the customers’ homes
- 100% responsible for any next steps being communicated to the proper people and departments before a tech leaves the client’s home.
- Additional office duties as assigned
Qualifications
- 1-3 years of experience in an HVAC setting working with field technicians a plus
- Minimum 4 years of customer service experience
- Excellent customer service skills
- Must be organized with the ability to multi-task in a fast-paced work environment
- Strong written and verbal communication skills, with in depth knowledge of Word, Excel, Outlook, and Windows
- Previous experience with Service Titan a plus
- High School Diploma required
