Summary of Position:

The Editorial Assistant position is a first step into the publishing industry. The EA provides support to the Test Prep Retail and Guidebooks team and gets a bird’s eye view of a busy publishing team. This person will wear a ton of hats and learn a lot: handle invoices, manage reprints, learn about revisions and editorial and production workflow, see what tasks are handled by Editors, Production Editors, Production Artists, our publisher (Penguin Random House), proof eBooks, attend meetings with the entire team and contribute in those spaces, serve as liaison with other departments, and more. This position is part-time and the EA can decide how they wish to break up their hours 25-27 per week. Candidates must be located in the NYC area.

Major Responsibilities:

  • Serve as Assistant to Editorial Team (7 Editors – both Test Prep and Guidebooks) and help out with items listed below:
  • Proof eBooks (multiple passes) and note any items that need to be fixed in a spreadsheet, then in next pass confirm that items were fixed. Communicate with Editors about eBook status, schedules.
  • Manage Reprints and Errata. Maintain spreadsheets where we list any known errors or typos, update as needed. When Random House calls for a reprint, check the errata to see if we have any errors to fix and have those pages made by Production Artist, then provide those pages to Random House. Then tally that information (date of reprint, pages sent to RH) on errata spreadsheet. When hard copy book arrives, note that in spreadsheet also.
  • Process Invoices: Serve as liaison to accounting department and send them Editorial Team’s invoices once a week, making sure all necessary documents are in the folder (invoices, contracts, W9s) and approved.
  • Customer service: Respond to emails and phone calls from book customers. Engage with customers in a friendly, courteous manner.
  • Cover Routing: Route book covers to Legal and share any comments with Editors.
  • Amazon Tracking: Monitor reviews/ratings of our books on Amazon and alert Editorial Team if there are any issues reported there, track Amazon ratings by month in a spreadsheet and share with Editorial Team.
  • Misc Editorial Projects as needed: Mail out author/developer copies, complete competitive analysis/market research, coordinate the donation of extra copies of books to schools or community centers, help Editor secure permissions for literary passages from other publishers.

Education, Background, Experience & Qualifications:

  • Bachelor’s Degree required. Ideal majors: English, Creative Writing
  • 1- 2 years editorial experience preferred
  • Ability to work in multiple computer databases and possess proficient skills in MS Office
  • Strong and courteous written and oral communication skills
  • Excellent problem solving and organizational skills
  • Strong ability to manage multiple projects on tight deadlines and prioritize appropriately
  • Positive attitude, willingness to assist the team in assorted projects as needed

Salary: $25 - $30 per hour, based on a 25-27 hour work week.
