Position Summary:
The Event Coordinator is responsible for the effective and efficient planning of events, from weddings to academic gatherings, to charity shows and local events. The role of an Event Coordinator involves carrying out various functions in ensuring that an event runs smoothly.
Core Responsibilities:
The Event Coordinator works closely with clients in order to find out their needs and keep them up-to-date on the progress of the planning process for their event
Discuss layout options with clients, conduct venue walk-thru, and secure event venue
Ensure all required tasks are accomplished and complete on the day-of-event
Oversees order of events and maintains the appearance of the event site
Manages logistics in preparation for events including setting up displays, presentations, and equipment
Greets and directs guests to the event site
· Maintains client relationships and serves as a point of contact on day-of-event.
- Works closely with the Event Coordinator Manager in liaising with clients in order to find out their needs and keep them up-to-date on the progress of the planning process for their event

- Oversees order of events and maintains appearance of event site

- Greets and directs guests to the event site

- Report and return any guest properties found while rendering services
- Perform other duties as assigned
- Actively help grow business by outside sales
- Fully communicates to other departments on upcoming Events
- Works closely with the Chef and Bistro Manager
- Actively promote the spa, treatments, services, sessions, and retail, as well as programs, promotions and/or discounts available
- Plan, schedule and organize time slots for Spa parties
- Ensures that a Spa Concierge is informed on all necessary aspects of each group party or event
- Develop and implement new social media plans to attract new customers
Knowledge, Skills, and Competencies:
Ability to carry out various tasks efficiently
Possession of High School Diploma
Ability to comply with instructions
Ability to work under pressure effectively
Ability to communicate orally and in writing
Ability to lead and work as part of a team
Proficiency in Microsoft Office applications
Ability to schedule and efficiently carry out activities within time
Ability to listen compassionately to the needs of clients
Ability to negotiate in order to get the best available deal for clients
Excellent interpersonal skills
Proven ability to pay attention to details
Experience in event coordinating
Ability to foresee problems and nip them in the bud
Ability to manage and solve problems and conflicts
Proven project management skill is valuable in this field
Regular attendance according to established guidelines
May be required to work varying schedules to reflect the business needs of the property
Ability to maintain excellent relationships with staff and always maintain staff and guest confidentiality
Must have open availability
Physical Requirements:
Quickly, thoroughly, and efficiently perform all duties assigned
Sit, stand and walk for varying lengths of time, often long periods of time
Bend, stoop, squat, and stretch to fulfill event setup needs
Lift approximately thirty (30) pounds of equipment or supplies, using safe lifting techniques
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
