The Division of Student Life at the University of Tennessee, Knoxville invites applications and nominations for the position of Events and Facility Coordinator. This is an exempt, 12-month, full-time, non-tenure track staff position.

The University of Tennessee Student Union partners with students to provide services and an intentional use of space to promote community, student learning and development, as well as a sense of belonging. The Student Union offers students the opportunity to eat, study, work, and relax in the heart of campus. It houses our Office of Sorority and Fraternity Life, the Jones Center for Leadership and Service, the Dean of Students Office, the Center for Student Engagement, the Visitors Center, the Center for Career Development & Academic Exploration, the VolShop, and VolTech.

The Position: The Student Union provides an array of facilities and services in support of the university’s mission. The Events and Facility Coordinator provides daily management of the student union facility, ensuring a high level of customer service, student-learning focused undergraduate staff supervision, as well as skilled and proactive technical support.

This role manages the daily operations of the student union setup team, assists in the event reservation process, engages in campus outreach and training initiatives, and ensures facility security and emergency operations when needed.

Responsibilities:

  • Coordinates with other union professional staff to maintain continuity/consistency of union services and operations
  • Engages in pre-event planning, providing guidance and direction to users
  • Provides and facilitates event support including audio-visual, technical, and event furniture set-up for Student Union users
  • Assists with event crowd management, monitor services, safety, and security of the Student Union
  • Identifies and resolves immediate operation issues within the policy, practices, and procedures when appropriate
  • Clears and secures the Student Union at closing, ensuring all facility spaces are locked
  • Analyze, enforce, and make recommendations regarding building policies and procedures

What We Require

Education/Experience: Bachelor’s degree plus 1-year relevant facility and/or event management experience (includes higher education masters students with anticipated spring 2023 graduation) or 5 years full-time relevant experience including event management, facility management, and technology/audio-visual equipment.

Knowledge, skills, & abilities:

  • ability to work with diverse constituencies.
  • Ability to prioritize multiple work responsibilities in time-sensitive situations.
  • Ability to work with limited supervision, supervise and delegate work to student staff.
  • Ability to exercise good judgement, handle different situations with confidence and leadership, and be flexible.
  • Knowledge of facility and event management.
  • Knowledge of PC and MAC operating systems, and Microsoft Office Suite.
  • Knowledge of the role of, trends, and best practices related to Student Union operations, facility management, and event management.
  • Knowledge of event management software.
  • Ability to build relationships within and outside the department.
  • Strong interpersonal skills, including strong oral, written, and listening communication capabilities.

Education/Experience: Master's degree in education, student affairs, business administration, or related field

Salary: The salary for this position is commensurate with experience and other qualifications and is accompanied by a standard university benefits package.
