GENERAL PURPOSE

The Events and Operations Coordinator (?Coordinator?) is a driven, innovative performer responsible for organizing recruitment visits and events, managing the CRM events module and office operations, training and supervising student employees and tour guides, and providing reception support services to the Admissions Office.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Responsible for admissions and recruitment event development, and implementation
  • Manage the CRM events module, including building and designing RSVP and inquiry forms, events calendar, pre- and post-event communications, and email campaigns
  • Manage online events registration calendar and admissions event portal
  • Organize logistics for all admissions events (e.g., open houses, information sessions, admitted student programs, school visits, etc.), including, but not limited to, collaborating with campus departments, securing faculty and staff coverage, reserving rooms, ordering catering, and coordinating workflow of pre- and post-event marketing/communications
  • Organize and coordinate individual and group visits to campus, including, but not limited to, managing the visit calendar and arranging tours
  • Admissions Office liaison with Marketing Office, submitting requests to Marketing for admissions collateral, collaborating on the development and sharing feedback, and ensuring timely and accurate receipt of materials and items for recruitment and events
  • Maintain the department?s inventory of office supplies, marketing materials, giveaways, etc., and coordinate ordering additional items as needed
  • Welcome guests to the Admissions Office and facilitate their visit needs
  • Manage high volume phone calls and Admission Inbox, assist with data entry, daily mail delivery to Application Coordinator, and preparation of folders and letters to prospective students
  • Support the Director of Enrollment with departmental budget, monitoring expenses, payment of invoices, reimbursements, etc.
  • Recruit, train and manage student office workers, student tour guides and admission ambassadors
  • Maintain the tour room in the residence hall in cooperation with Student Experience staff
  • Develop a working knowledge of all programs of study and all academic and student support services to share with prospective students
