Description:

AmeriVet Veterinary Partners is looking for a motivated, positive, and flexible Event Assistant to join our tight knit Marketing team. The Events Assistant will work directly with the Events Manager to help with coordinating logistics for a range of company events for recruiting and business development purposes, including conferences, job fairs, and offsite events.

Primary Duties:

  • Facilitate aspects of tradeshow planning, including event and staff registration, managing vendor relationships, ordering booth swag, booking accommodations, and post-show reporting.
  • Work with internal teams to manage exhibit floor plans, exhibitor services, and fulfillment of sponsor benefits.
  • Manage and track all inbound and outbound packages.
  • Keep track of promotional item inventory and collateral needs; refresh as necessary.
  • Manage packing and shipping of display items, collaterals, and promotional materials; ensure all deadlines are met.
  • Assist with the design and order of new collaterals and promotional materials.
  • Maintain event budgets and keep records of all receipts; submit expense reports on a weekly basis.
  • Assist with internal event logistics in advance, on-site, and post-conference to include room blocks, flights, meeting specifications, audio/visual, food & beverage, décor, entertainment, signage, and transportation, etc.
  • Research venues for offsite events.
  • Support with post-event reporting and analysis to key stakeholders to determine ROI.
  • Preserve the overall cleanliness and organization of the marketing closet.
  • Keep the events page on the AmeriVet website up to date.
  • Work closely with the marketing team and collaborate on projects as assigned.
  • Other duties as assigned.

  • Events experience – not a must, but a plus!
  • Willingness to learn and a good attitude
  • Experience working with various vendors (hotels, travel, conferences, catering, etc.) - not a must, but a plus!
  • Proficiency with Microsoft Office Suite
