About the Position

The Executive Administrator (EA) is responsible for providing a high level of administrative support and personal assistance to the Chief People and Inclusion Officer (CPIO). The EAs primary role is to support the CPIO by managing their schedules and communications, including prioritizing emails and phone calls, gathering documents to prepare for meetings, participating in meetings and tracking action items, coordinating projects, scheduling meetings with Exec Team members, department staff and external vendors.

Responsibilities

  • Prepare correspondence, reports, and high-quality presentations

  • Prepare for meetings: schedule, agenda, notes and updates

  • Plan and coordinate team events

  • Triage and prioritize CPIO emails

  • Calendar management

  • Develop and maintain an electronic filing system

  • Updating and maintaining communications forums

  • Support HR and DE&I projects and programs as needed and other duties as assigned by the CPIO


The ideal candidate will possess the following professional qualifications:

  • Outstanding interpersonal and communication skills; demonstrated ability to interact with diverse groups including high profile executives, board members, and staff.

  • Excellent customer service skills and experience prioritizing and balancing tasks

  • Proven ability to learn quickly and understand the "how and why" of a fast-moving environment.

  • Superb organizational skills and attention to detail.

  • Experience coordinating simultaneous projects with seamless execution and excellent judgment.

  • Resourcefulness, ingenuity, and exceptional problem-solving skills.

  • Ability to protect confidential and proprietary information with discretion.

  • Power user with all Microsoft Office applications; exceptional Word, Excel, PowerPoint and Outlook skills a must.

  • Flexibility and ability to thrive in a fast-paced deadline driven environment.

  • Strong desire to make a difference in the lives of others as part of a mission driven organization.

  • Ability to work flexible hours, including occasional evenings and weekends as needed.

  • Possession of a valid California drivers license and a clean DMV record. Willingness to drive personal vehicle, as necessary. (Compensation for business mileage to be reimbursed at standard IRS rates.)

  • Five or more years of experience as an EA to Senior Executives.

This is an onsite position. Specifics of work location will depend on department need.


An employees regular remote work site should be within driving distance of one of Second Harvests locations and must be within the state of California.



Hours


Full- Time. Exempt. 40 hours/week, with some evening and weekend work as necessary.



Compensation

$70,866 - $88,584 is the wage range for this position. The salary wage offer will be commensurate with skills and experience. Outstanding and generous health benefits program, 5 weeks of Flexible Time Off (vacation and sick), ten paid holidays, and retirement plan.
