This position will provide essential daily administrative, communication and organization support for the President, General Manager and SVP of Strategy, VP of Human Resources and other executive personnel. Utilizes strong writing and communication skills to draft key internal updates on behalf of the leadership team.

Essential Duties and Responsibilities:

  • Leads by example
  • Responsible for maintaining a high degree of hospitality, as well as a positive and professional demeanor at all times.
  • Creates high levels of morale, fosters teamwork, and inspires collaboration.
  • Work with team leaders to ensure compliance in all areas of responsibility, and assist in enforcing all Company policies and procedures.
  • Supports the success of Canterbury Park by providing administrative, communication and organizational support for the leadership team.
  • Drafts, proofreads and edits weekly all-team and management team communications on behalf of the General Manager and VP of HR.
  • Attends executive and departmental meetings to provide complete and accurate minutes including identified action items.
  • Prepares Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the Company.
  • Manages and organizes calendars of meetings and events, resolving any scheduling issues. Serves as a gatekeeper for General Manager’s schedule to ensure efficient and effective use of time.
  • Coordinate and manage travel arrangements, key meetings, and logistics as needed for senior leadership team.
  • Screen incoming communication including phone and email communication, prioritizes responses, deliver accurate messages and respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Assembles necessary information and tracks progress to update strategic planning and departmental status reports and scorecards.
  • Uses discretion, confidentiality, and good judgment to handle C-Level matters.
  • Manages and Monitors shared office equipment to ensure it is in running properly and maintains equipment inventory.
  • Perform other duties as assigned.

Required Qualifications:

  • Must be at least 18 years of age or older
  • 6+ years’ experience in Administrative Assistant / Executive Administrative experience with at least three years supporting senior leadership team members.
  • Proficient in the use of applications such as Word, Excel, and PowerPoint.
  • Strong interpersonal and problem solving skills with the ability to collaborate and interact with guests and team members at all levels of the organization.
  • Excellent organizational skills with a strong attention to detail and follow up
  • Ability to work and act independently
  • Ability to multitask within a fast-paced environment and meet stated deadlines
  • Ability to learn and utilize a variety of technology solutions to run hybrid meetings
  • Ability to work with a positive, and “can do” attitude across the organization representing the Senior Leadership Team

  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives
  • Must be able to attain a Minnesota Racing Commission (MRC) license.
  • Flexible schedule including occasional weekends, evenings and/or holidays.

Preferred Qualifications:

  • General knowledge of horse racing and card casino gaming.
