Position summary

The Executive Assistant for the CEO provides multi-faceted administrative support and assistance to the CEO as well as the Executive Team to ensure maximize efficiency of leadership and to support productive interactions with staff, business partners, and other external stakeholders. The Executive Assistant handles a wide range of administrative and support tasks and initiates, including:

Essential tasks of the position

  • Manages the CEO's schedule, including Outlook calendar, meeting preparations, follow-up tasks, phone support, and travel arrangements.
  • Also provides support for in-office and offsite Executive Team members as needed
  • Develops positive and strategic relationships at all levels of the organization, in alignment with Company’s core values.
  • Prepares presentation materials and conducts research and information gathering on behalf of the CEO and executive team.
  • Implements processes to help manage executive projects, information, and people.
  • Collects data, prepares summaries, and reports as needed.
  • Uses appropriate discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality.
  • Additional ad hoc administrative support for CEO as needed.

Activities of the position affect quality objectives. Responsibilities and authorities include where appropriate:

  • Initiate action to prevent the occurrence of any nonconformities relating to product, process or quality system, up to and including when necessary, stopping production to correct quality problems.
  • Identify and record any problems relating to the product, process and quality system.
  • Document problems, steps taken for resolution and preventative action(s), notifying parties required.
  • Initiate, recommend or provide solutions through designated channels. Verify the implementation of solutions in areas under your control.
  • Control further processing, delivery or installation of nonconforming product until the deficiency or unsatisfactory condition has been corrected. Perform duties and tasks as prescribed in company policies, procedures, and work instructions.
