W2 Contract for 3 months with opportunity for extensions.
Pay rate: $36.57 – $40.57per hour.

Job description:

This integral role, supporting select Vice Presidents of Finance will independently provide varied administrative support to ensure seamless execution, operations, meetings and events with the highest level of accuracy and confidentiality.
Reporting to the Sr. Exec Assistant to the CFO, this position will be a key member of the finance leadership team to ensure successful operational support working independently, utilizing sound judgement with an innate ability to collaborate with the team, optimizing technology and resources for continuous improvement.

Main responsibilities:

  • Partnering with VP’s of Finance to ensure successful completion of financial activities in accordance to the Corporate Financial Calendar such as: preparation of meeting materials, audit board metrics, finance certifications and filings.
  • Ensure timely and accurate calendar management, travel coordination, expense reporting, composing and preparing correspondence and communications, arranging complex and detailed agendas.
  • Independently work on key projects such as Global Finance onboarding guides and agendas, updates regarding trainings and termination reporting, and maintaining accurate and up to-date information on company's virtual platform such as Internal Audit SharePoint site.
  • Assist in scheduling executive team meetings and attends meetings, as necessary with appropriate minutes / notes prepared.
  • Proactively prepares for and schedules key meetings such as budget reviews, internal audit meetings, and meetings with 3rd parties.
  • Maintain discretion and confidentiality.
  • Safeguard the company’s intellectual property, information, and asset.

Working modality:

Onsite 5 days per week. Potential remote as needed every once in a while.

Education:

  • Bachelor of Science or Arts, or the equivalent combination of High School education and related corporate experience.

Desired experience:

  • At least 3 years of experience supporting a senior level leader.
  • Experience within a fast-paced, dynamic, high growth environment.
  • Demonstrated ability to work on simultaneous projects and prioritize conflicting needs, handle matters expeditiously with keen follow through on projects for successful completion.
  • Ability to work with finance-related information and materials.
  • Comfort in partnering with internal and external senior-level executives.
  • Demonstrated track record of working in a confidential, professional, discreet manner while managing sensitive information.
  • Strong organizational skills and the ability to prioritize with excellent attention to detail.
  • Highly resourceful with the ability to be effective independently and with little direction.
  • Ability to achieve high performance goals and meet deadlines.
  • Must have excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, customers, and external partners.
  • Demonstrated proactive approach to problem-solving with strong decision-making skills.
  • Adaptability to quickly and comfortably shift priorities while maintaining the highest level of customer service and responsiveness.

  • Proficiency in Microsoft Outlook, Word, Excel (run payroll reports, etc.), PowerPoint (editing slides), and Adobe Acrobat.
  • Proficiency in Concur to manage travel and expense.
  • Heavy Calendar management – need to be able to prioritize and reschedule meetings if needed (can be trained on what should take priority), get conference rooms ready for meetings, etc.
  • Proactiveness, comfortable asking questions, proficiency into fixing a problem right when they see it.
