Hiring Goal
The executive seeks to hire an Executive Assistant that has strong organizational skills alongside task-oriented strengths. The assistant will need to have established strengths with being nimble, proactive vs. reactive, and would self-describe as personable. The role comes with great responsibility and requires an individual that has a strong business acumen for handling outward and inward matters.

ROLE OVERVIEW
President Support 70%

  • Eyes and organization on the inbox, daily
  • Coordinate, draft, and circulate internal and external communication on behalf of President with precision, accuracy and a high-level of professionalism
  • Heavy calendar management, most days back to back meetings
  • On occasion, support to VP of Finance
  • Coordinate full-cycle travel arrangements (he is based out of another state and travels to HQ weekly + visits offices around the globe)
  • Arrange itineraries for President, respective team members, domestic and international travelers
  • Arranges detailed travel plans for internal and external groups with common objectives; (e.g., facility tours, site tours, plant visits, etc.)
  • Oversee company wide Travel Policy (already intact)
  • Maintain and foster relationship and communication with travel agency (i.e., Concur)
  • Arrange meetings and coordinate logistics with Administrative team
  • Coordinate agendas, deliverables, and meeting notes
  • Assist with presentation creation and edits
  • Organize meeting room and needs for guests (monthly - locally, regionally and globally)
  • Track action items and follow up
  • Sharing of recorded meetings (i.e., Town Hall) to all company
  • Generate and deliver follow up emails to participants on action items (i.e., monthly review meetings + weekly staff meeting)
  • Coordinate with global sites to plan meetings and events
  • Coordinate schedules and meetings with global sites, EBIs other Business Units as needed
  • Manage conference room calendars for accuracy and avoiding schedule conflicts
  • Plan all large company or site specific events, meetings, site tours, etc.
  • Support document preparation (i.e., proofreading, copying, and formatting)
  • Complete expense reports, work with Concur
  • Concur administrator: manage users and reporting within EBI/AFB SAP Concur
  • Create and submit expense reports on behalf of self and President, including respective teams
  • Help executive optimize time by assuming requests prior to executive making a request, which means join meetings to learn future demands and forthcoming activities that may involve your executive

Office Support 20%

  • Manage building/facility floor plans and office furniture layouts; organize, plan and execute office layout changes/reorganization
  • Works closely with Human Resources to anticipate seating and floor plans to best accommodate organizational changes, new hires and company growth
  • Maintains inventory of office furniture and equipment
  • Acts as liaison for furniture repairs, installs or reconfigurations
  • Maintains floor plans for current layout and future planning
  • Sometimes oversee kitchen
  • Oversee conference rooms
  • Sometimes welcome guests + handle badge activities

Business Support 10%

  • Work with local organizations on joint initiatives, (i.e., the Zoo and the like)
  • Support with ad-hoc tasks (e.g., researching)
  • Culture ambassador (e.g., arrange team building activities), help with monthly town hall meetings, company updates (i.e., ELT offsite, coordinate)

Company Offerings

  • Salary: Up to $85,000 to $100,000 base salary, dependent on experience (+ annual incentive plans)
  • Bonus: 10% of annual earnings
  • Schedule: Office hours 8:00am to 5:00pm + Flex Schedule
  • 401(k): Company contributes 100% of the first 3% of eligible earnings you save and 50% of the next 3% for a total of a 4.5% match on 6%
  • Vacation: Vacation typically 2 weeks (negotiable), 3 personal days, company does not have a set number of sick days
  • Holidays include: 11 company holidays plus 2 floating holidays
