TITLE OF POSITION: Executive Assistant

QUALIFICATIONS: Bachelor’s degree or relevant equivalent experience. Three years experience supporting an executive level team or leadership experience. Strong computer skills in Microsoft Office suite. This role is onsite at our Iola, KS location. Must pass KBI, DCF child & adult abuse registry, motor vehicle screen, and background checks. Must have reliable and insured transportation.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

1. Ability to communicate effectively and professionally.

2. Self-confident, assertive, approachable, and responsive. You understand the mission, needs, and direction of the organization.

3. This position will support and manage a team of associates.

4. Proficient in MS Office (Word, Excel, etc.), SharePoint, and other applicable software.

5. Extremely high attention to detail.

6. Ability to organize, prioritize, and complete multiple projects at the same time

7. Organize and effectively prioritize workload.

NUMBER OF HOURS PER WEEK: Regular full-time position

DUTIES AND RESPONSIBILITIES:

1. Provide administrative support to multiple level executives both on site and remote by managing calendar, scheduling meetings, and arranging travel and processing expenses.

2. Interacting with all levels of the organization, as well as external entities, and must establish and foster relationships to ensure Company and administrative policies are established and executed, and executive support levels are maintained.

3. Managing priorities, creating, and maintaining relationships. Excellent communication and collaboration are paramount. Must be able to analyze situations and exercise sound judgment in determining appropriate courses of action.

4. Process correspondence to include composition, when requested, typing, monitoring response time frame, as well as preparing agenda and materials for Governing Board meeting minutes.

5. Demonstrated ability to interact effectively and appropriately with high-level professionals, boards, committees, clients, and senior leadership.

6. Develop new forms or other printing as required for the Center, including booklets, brochures, etc. Assist in compiling information/documents regarding contracts. Grants, proposal development, including typing of documents, copying, assembling, etc.

7. Develop and maintain organized files for the Chief Executive Officer.

8. Process telephone calls and record accurate messages in the absence of the Chief Executive Officer and keep updated on overall activities, projects, and issues.

9. Complete reports, letters, forms, grants, procedural manuals, and other documents or transcription from the Chief Executive Officer.

10. Perform other duties delegated to enhance efficiency of the operation of Center.

11. Perform other duties as assigned by the Chief Executive Officer.

EMPLOYMENT STATUS: Exempt

SALARY: Per Pay Schedule

SUPERVISED AND EVALUATED BY: Chief Executive Officer

Job Type: Full-time

Pay: From $48,000.00 per year
