Executive Assistant to Support 5 Sr. Execs at Midtown Hedge Fund Job at BCL Search

Our client, a well-known and respected Hedge Fund is looking to hire an exceptional administrative and organizational support for a 5 Senior Executives. This individual will be responsible for handling a variety of administrative tasks for the senior executives. The successful candidate will be a self-starter who has demonstrated the ability to function independently in a fast-paced, and demanding environment. This person will be intellectually curious, intuitive, detail oriented, resourceful, trustworthy and have the highest ethical standards. In addition, the individual will be effective addressing several internal and external audiences in a professional manner. This person will add value by working on a number of simultaneous projects with minimal supervision and exemplary follow-through. This client has a strong focus on in-person collaboration, and team members are expected to work in person with their colleagues. To promote a safe environment for all employees, new employees must be fully vaccinated or, if unable to be vaccinated for a medical or religious basis, obtain an accommodation before their start date. This role is in office 5x a week and has significant paid OT. The ideal candidate will ideally have 10 years of experience, with a minimum of 5 years of experience, preferably in finance.

RESPONSIBILITIES:
  • Provide outstanding organizational support for 5 Senior Executives on team
  • Coordinate travel arrangements and process expenses for Executives
  • Manage extensive calendars for 5 Executives
  • Coordinate high volume of internal and external meetings ensuring that diaries are efficiently managed
  • Ensure that follow-ups are actioned after meetings where appropriate
  • Answer phones and retrieve voicemails daily
  • Manage, organize and maintain accurate files
  • Perform special projects as requested by senior leaders which may require utilizing various applications (e.g. internal proprietary software, Microsoft Office suite)
  • Perform other duties as assigned

REQUIREMENTS:
  • Experienced professional with a minimum of 5 years of experience. (Targeting 10 years)
  • Excellent English, grammar, written and oral communication skills
  • Proven record of successful problem solving
  • Superior organizational skills and record-keeping, and strong attention to detail
  • Excellent interpersonal skills, positive attitude, and high energy level
  • Requires some flexibility with work schedule
  • Adaptable, flexible to changes and the ability to work in a fast-paced environment
  • Proficiency in Microsoft Windows, Excel, PowerPoint, and related software
  • Bachelor’s degree required

HOURS:
9am-5pm + flex for OT + avail when Execs are traveling

SALARY:
$100-150K (DOE) + Paid OT + Discretionary Bonus + excellent benefits
