We’re looking for an Office Administrator to support the Company President/CEO and oversee the daily operations of an office building. This role will coordinate and manage the President/CEO’s schedule, organize, and respond to important communications, and support meetings and the preparation of meeting materials along with organizing and coordinating office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety.

This role serves as the eyes and ears for the President/CEO, connecting organizations, projects, and critical business information to the President/CEO, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the priorities of the business.

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the President/CEO’s needs. The role must interact seamlessly with a professional demeanor across a broad range of individuals including Owners, members of the Senior Management Team, Board of Directors, and leaders who report to the President/CEO.

To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and company information while exercising professionalism and discretion.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to the President/CEO.

Additionally, the successful Office Administrator is an energetic professional with strong multi-tasking ability. Experience in handling a wide range of administrative duties and executive support-related tasks and being able to work independently with little or no supervision is necessary. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people while building a positive culture in the workplace.

Responsibilities include, but are not limited to:

· Manage President/CEO’s calendar and scheduling meetings, calls and other events

· Act as the point of contact for the President/CEO between executives, employees, vendors and other external partners

· Draft, review and send communications on behalf of the President/CEO

· Organize and prepare for meetings, including gathering documents and attending to logistics of meetings

· Organize company calls and/or Office meetings, manage the meeting room schedules and coordinate logistics to include IT, Administrative, or other needs

· Take minutes during meetings, if needed

· Answer and respond to phone calls, communicate messages and information to the executive

· Prioritize emails and respond as necessary

· Managing the Company plane and coordinating travel arrangements

· Maintain various records and documents for the President/CEO

· Ensure the office building is maintained, including keeping all spaces cleaned, organized and functional

· Manage office functions and needs for mailing, shipping, supplies, equipment, etc

· Partner with HR to maintain office policies as necessary

· Coordinate with IT department on all office equipment

· Partner with Facilities to manage relationships with Office vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time

· Provide general support to visitors

· Responsible for creating PowerPoint slides and making presentations as needed

· Manage executives' schedules, calendars, and appointments as requested, including travel

· Overseeing general office operation

· Purchasing office supplies and equipment and maintaining proper stock levels.

· Producing reports, composing correspondence for executive and senior leadership partners

· Creating presentations and other management-level reports.

Requirements and skills:

· Strong organizational and time management skills

· Effective at multi-tasking in fast-paced environment with frequent changes and interruptions

· Excellent verbal and written communications skills

· Maintains discretion and confidentiality; consistently demonstrates integrity in actions

· Ability to work independently, holds self accountable for standards

· Represent President and Border Foods positively and professionally

· Utilizes systems and tools to make appropriate business decisions

Education, Training and Experience:

· 2+ years work experience as an Executive Assistant, Administrative Assistant, Office Manager or similar role

· Proficient with Microsoft Office programs and SharePoint

· High school diploma or equivalent
