Responsibilities

Under the supervision of the Practice Manager, Clinical Director and Division Chief, the incumbent performs front desk reception duties, and coordinates patient check out for the Plastic Surgery Clinics. Under the supervision of an Plastic Surgery faculty member(s), provide administrative and academic support which includes scheduling patient appointments and diagnostic tests, maintain patient records and maintain physician calendar, and other duties as assigned.
At the front desk, the incumbent greets visitors and patients, separates physician’s charts, verifies appointment status, checks appointment notes and benefit collection notes, collects copies of insurance cards and collect copay or deductibles payments. Check out responsibilities are designed to provide clinical care coordination for outpatients seen in the clinic. Incumbent will schedule return appointments when indicated, answer patients’ questions to ensure compliance with physician orders, schedule diagnostic tests, submit referrals to other specialties required before return visit to the clinic, review physician discharge orders and physician contact information.
In general, the incumbent is responsible for working with other team members to keep the clinic running efficiently and effectively, handling transactions in a time-sensitive manner. While the job is primarily administrative in functionality, some clinical knowledge is required, specifically relating to medical and insurance terminology.

Salary Range: 23.49 - 33.34 Hourly

Qualifications

  • Skill in independently composing correspondence in standard correct grammar.
  • Skill in organizing workflow to meet deadlines.
  • Skill in establishing and maintaining complex filing systems (general and research)
  • Skill in editing correspondence and manuscripts for correct grammar, spelling and punctuation.
  • Skill in speaking clearly and distinctly using appropriate English vocabulary and grammar to obtain and convey
    information to individuals at various organizational levels.
  • Skill in setting priorities that accurately reflect the importance of job responsibilities.
  • Skill in exchanging ideas and opinions with others to increase efficiency of office procedures.
  • Skill in collaborating with colleagues and administrators.
  • Working knowledge of medical/plastic surgery terminology.
  • Working knowledge of Microsoft Office, and various software programs.
  • Detailed knowledge of Medical Center Computing System appointment/registration procedures.
  • Ability to interact diplomatically with the public on the telephone and in person, and to maintain a cooperative working relationship with patients, staff, faculty, residents, and ancillary personnel.
  • Ability to work independently and complete assignments with minimal direction and supervision.
  • Ability to move between academic office, patient clinic locations, and other appropriate areas on campus to facilitate work flow and deliver/pick-up necessary materials.
  • Ability to independently operate photocopy and fax machines.
  • Experience with using EPIC EMR preferred.
