Responsible for providing post-award administrative support to the Grants Director by creating and preparing grant billings and reports in compliance with federal, state, and local grants. This position also supports the Vice President of Business Operations with the financial aspects of development, oversight, and monthly claim submissions of the CACFP and SFSP federal food programs, including developing the annual budgets before submission to the Nevada Department of Agriculture (NDA) for approval.


ESSENTIAL FUNCTIONS:

Grant Management & Reporting

  • Produce a variety of financial and programmatic reports for assigned grants, ensuring all reports are complete, accurate, and submitted in a timely manner.
  • Provide administrative support for grant billings, including managing timecards and coordinating with the accounting department to collect expenditures.
  • Develop and maintain schedules for project reports, requests for funds, and other submittal requirements.
  • Monitor grant expenditures to ensure compliance with the funding agency and successful drawdown of funds.
  • Provide technical assistance to program staff on grant implementation and budget expenditures.
  • Cross-train with Grants Administrator I to provide support as needed.

CACFP /SFSP Food Program

    • Prepare and submit monthly CACFP and SFSP food claims to the State of Nevada based on Food Program Policies and Procedures.
    • Collaborate with the Vice President of Business Operations on submitting annual budgets for these programs, including preparing and finalizing budget information.
    • Produce a variety of programmatic and fiscal grant reports, including the Food Bank Report to the Food Bank of Northern Nevada.
    • Assist, as necessary, when NDA audits take place.

  • Excellent written and verbal communication skills, able to communicate effectively with a diverse population, and represent BGCTM professionally to the community.
  • Critical administrative analysis and effective time management skills to effectively organize and prioritize workload, foresee problem areas and seek immediate action.
  • Demonstrated ability to independently manage several projects simultaneously while serving as a resource for all contacts and providing a high level of customer service.
  • Excellent organizational skills and attention to detail.
  • Strong computer skills, including database manipulation and spreadsheets.
  • Able to produce and provide data/reports in a timely manner.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Able to function well in a high-paced and at times stressful environment.
  • Proficient with Microsoft Office Suite or similar software.

CERTIFICATIONS/ASSOCIATIONS:

  • After hire, will receive mandatory paid on-line and in-person training, including Safety Skills, CPR/First Aid, etc.
  • After hire, will be registered with Boys and Girls Clubs of America.

EDUCATION/EXPERIENCE:

  • High School Diploma or GED required; Bachelor’s degree preferred.
  • Minimum of two years of related experience in administrative, payroll, and/or grant reporting.
  • Experience with federal grants management and/or federal regulations compliance a plus.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

  • Must be able to perform duties which require walking, talking, hearing, standing, sitting, and/or bending for long periods of time. May occasionally be required to kneel, run and/or climb.
  • Must be able to use hands and arms to enter data into the computer, use the telephone and other office equipment.
  • Must be able to perform surface and deep cleaning, as needed.
  • Must be able to lift, move manipulate and or hold objects up to 45 pounds. Objects that exceed the 45-pound weight limit require additional assistance when moving, lifting or manipulating.
