Our client, a Global Investment Bank, is seeking to hire an Executive Assistant to support a Senior Managing Director in their Financial Sponsors Group. This is a Hybrid role working in the NYC office 4 days/week and work from home on Fridays. The ideal candidate will be a senior-level EA who is able to provide high-level, and professional administrative support. Candidate must be experienced in handling a wide range of administrative and support related tasks, be able to work independently with little or no supervision and formulate decisions and execute independently with a high degree of efficiency and accuracy. Candidate must also be well organized, flexible and enjoy the administrative challenges of supporting a high profile manager. This role requires exceptional interpersonal skills and the ability to interact with staff (at all levels) while remaining flexible, proactive and resourceful. The ideal candidate will want to take on more and grow at the firm. The successful candidate will be eager to roll up their sleeves and be flexible. Candidate must be excellent at multitasking and shifting gears quickly. They will possess confidence, have a positive attitude and be a team player. Strong PowerPoint skills, attention to detail and a hardworking mentality is a must.

RESPONSIBILITIES
  • Responsible for a variety of administrative tasks ranging from managing a busy and ever changing calendar, and the ability to assimilate priority email requests in your manager’s inbox
  • Act as gatekeeper to ensure executive’s schedule is followed and respected; liaison to maximize manager’s focus on priorities
  • Responsible for calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of meetings. Skilled at coordinating complex meetings with the flexibility to adapt to rapidly changing schedules
  • Experience scheduling domestic and international travel; arrangement of travel schedules, itineraries and reservations across multiple time zones
  • Utilizes strong judgment in managing priorities of requests and escalating as necessary for resolution and/or prioritization while determining the appropriate course of action
  • Works closely and effectively with the banker(s) to keep them informed of upcoming commitments and responsibilities both professionally and personally
  • Requires cross-departmental team coordination for conference calls and meetings (being appropriately inclusive by getting to know core team)
  • Must be able to work under deadlines and adapt to a fast-paced environment
  • Demonstrates a proactive approach to problem-solving with strong decision-making capability
  • Handling expense reporting and other duties as necessary
  • Work in tandem with the team EA’s providing back-up coverage, as needed
  • Must have a positive attitude and exhibit a "team" mentality
  • Personal work as required
REQUIREMENTS
  • BA/BS or equivalent experience
  • Minimum of 5 years of experience
  • Sound judgment – knowing when to escalate an issue
  • Professional demeanor, punctual, organized, team player and extremely detail-oriented
  • Excellent analytical, time-management and organization skills
  • Flexibility to manage several projects and priorities in a very fast-paced and high demand environment
  • Superior communication and interpersonal skills, both written and oral
  • Proficiency in all Microsoft Office Programs
SALARY
$95K + Paid Overtime + Discretionary Bonus + Great Benefits + 401k + tech + breakfast + lunch twice a week + perks

HOURS
8:30am-5:30pm or 9:00am-6:00pm + flexibility for OT as needed
This role is working in the physical office Monday-Thursdays and WFH Fridays
