Job Summary and Responsibilities/Duties

This position:


  • Is eligible for a 5% bilingual differential for bilingual skills in a language that meets department and/or community needs

Performs a variety of tasks to assist the Education Site Manager (ESM) and assigned centers to ensure that all center services are provided as required. Provides general clerical support; maintains child and family files; answers phones; processes purchase orders; maintains center supplies; produces newsletters/flyers; assists in all areas of center operations as assigned or required; provides supportive modeling and guidance for young children and their parents.

ESSENTIAL JOB DUTIES
General Clerical
  • Word Processing and Data Entry
    • Creates letters, forms, and reports;
    • Maintains and monitor database information;
    • Generates and translates newsletters, memos, etc. from provided content;
    • Generates required reports as assigned.
  • Special Projects
    • Provides support for Agency level projects, as assigned;
    • Assists with coordination of meetings and/or events.
  • Filing
    • Sorts, cross references, and files letters, reports and/or other documents;
    • Supports ESM with collection of forms and documents;
    • Maintains up-to-date files and systems.
  • Mail
    • Opens, sorts, and/or distributes incoming mail, messages, and/or reports;
    • Picks-up and drops-off interagency and postal mail/packages as directed.
  • Photocopies, collates, and laminates letters, forms, reports, classroom materials, and newsletters.
  • Appointments and Referral for Children and Families
    • Assists in scheduling, tracking, and following up on appointments and referrals;
    • Maintains and files information received for appointments and referrals;
    • Completes agency applications with clients.
  • Trainings and Meetings
    • Attends trainings and/or meetings
    • Takes minutes of meetings and distributes
  • Center Supplies
    • Manages, orders, purchases, and inventories center supplies as assigned.
  • Answers phones and directs calls appropriately.
  • Maintains financial records as assigned.
  • Operates and maintains center office equipment.

CENTER SUPPORT
  • Assists site teams to ensure all services are available to enrolled children as assigned by the ESM.
  • Conducts monthly evacuation drills
  • Provides backup for bus monitor, nutrition, and classroom services.
  • Assists with daily cleaning and maintenance as needed.
OTHER DUTIES
  • Performs other related duties as assigned and appropriate.
  • Reports suspected cases of child abuse or neglect in accordance to state law and agency policy.
  • Administers medication (i.e. Epi pen, inhaler) and diapers as needed.
  • Provides assistance to parents, volunteers, and the general public as needed at the center
  • Promotes and actively facilitates good teamwork and team building with the entire site staff.

Minimum and Desired Qualifications

MINIMUM QUALIFICATIONS


  • Must be enrolled in the Oregon Central Background Registry prior to beginning employment. Enrollment must be continuous in order to maintain employment.
  • High school diploma or GED certificate
  • Bilingual preferred in English with fluency also in Spanish, or another language that meets the community/department’s needs
  • One-year general office or customer service experience
  • Ability to carry out oral and written directions, read, write and speak at a level sufficient to fulfill the duties to be performed for the position described
  • Experience working with diverse backgrounds of the College's community, students and employees; demonstrated commitment to promoting access and diversity
  • Proficiency utilizing a computer
Desired Qualifications:
  • Associate's degree or higher

  • Central Background Registry enrollment
  • Health and Safety (IHHS) Certification within 30 days of hire
  • Recognizing and Reporting Child Abuse and Neglect (RRCAN) Certification within 30 days of hire
  • Prevention is Better Than Treatment Certification within 30 days of hire
  • Safe Sleep within 30 days of hire (EHS Staff only)
  • Current Infant/Child First Aid/CPR certification within 60 days of hire
  • Obtain Food Handlers Certificate within 30 days of hire

Working Conditions and Important Information

Working Conditions
Physical Requirements: Ability to lift/carry up to 50 lbs a distance of 10 feet. Ability to push/pull up to 50 lbs. a distance of 10 yards. Sufficient mobility and range of motion to perform repetitive standing, walking, balancing, stooping, bending, crouching, crawling, sitting on the floor, reaching, squatting, kneeling, and twisting for up to 8 hours per day. Sufficient stamina to perform job duties at frequency required. Ability to react quickly to the physical actions of children. Ability to perform physical requirements of bus monitor duties: Sufficient vision and hearing to perform job duties. Sufficient manual dexterity and eye- hand coordination to perform job duties.
Exposure to Hazards: Unpredictable child and family behavior, hazardous chemicals, contagious conditions, work with office equipment. Driving and riding in motor vehicles. Working conditions include indoor/outdoor environments, preschool center classrooms, playgrounds, and offices, frequent local and occasional out-of-town travel.
