Status: Full-time, ~ 40 hours per week

FLSA: Non-exempt

Hiring Range:  $20 to $23

Location: Corporate headquarters

Under the supervision of the Director of Health Services, the Department Coordinator will be responsible for organizing and scheduling program workshops and trainings. They will contribute to the development and implementation of multiple projects ensuring the delivery of each component according to grant guidelines and funding requirements. This task involves monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner. To be successful as a Project Coordinator, you will need to be able to work on tight deadlines, juggle multiple assignments at the same time, be competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills.

ADMINISTRATIVE DUTIES & RESPONSIBILITIES:

  • Supports the ASQ, MBC, and other Health Service Programs.
  • Managing complex calendar scheduling, including virtual and/or off-site in-person meetings, conferences, trainings, and presentations with multiple stakeholders and partner organizations. 
  • Coordinate the planning and arrangements for staff and participants of trainings, meetings, etc. 
  • Documenting and following up on important actions and decisions from meetings. 
  • Preparing necessary presentation materials for trainings and program operations 
  • Ensuring project deadlines are met. 
  • Communicate clearly and professionally with internal and external parties (family childcare providers, community members, funders, project partners, clients, etc.) to ensure timely responses to inquiries.  
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project. 
  • Maintain an organized system of tracking and prioritizing tasks according to project plan. 
  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members 
  • Work proactively and take initiative to support the varying needs of the team. 
  • Perform general clerical functions such as filing project reports, preparing memos, tracking and reporting project data, photocopying, and data entry. 
  • Leading focus group discussions, designing surveys, building outreach material, and conduct project evaluations.  
  • Perform other tasks as assigned by the management team. 

EDUCATION & EXPERIENCE:

  • BA/BS in Human Services, Social Services, Education, or Mental Health and two years’ work experience in any of these fields or customer service preferred; OR an Associate Degree and four years’ work experience in social services involving client contact OR equivalency of relevant experience in social services preferred. 
  • Bilingual applicants with knowledge of English and Somali, Amharic, or Oromo oral and written communication skills preferred. 
  • Strong knowledge or aptitude of computer software, especially Microsoft Office Tools
  • Established interest in early childhood development and a desire to improve quality access to education for immigrant and refugee communities. 
  • Ability to present complex information to a variety of audiences. 
  • Effective written and verbal communication skills including telephone etiquette and listening skills commensurate with target populations 
  • Must possess excellent organizational skills and time management skills related to handling multiple work priorities with efficiency and accuracy 
  • Ability to identify and respond to a crisis in a timely, appropriate, and professional manner 
  • High degree of skill and accuracy in record-keeping and follow-through procedures 
  • Knowledge of and ability to find and use any or all available information and resource agencies in counseling potential service users 
  • Must pass Department of Early Learning’s Portable Background Check (PBC).
