About this position
Supports the management of health information. Assists in the processing of documents and medical records within the department scope of assigned authority.
What we’ll expect from you
- Greets and interacts with medical staff, customers, visitors and various customer groups. Answers the telephone and provides information according to state and federal privacy rules and regulations. Coordinates processing of incoming and outgoing correspondence.
- Collects all hospital documentation from the various units. Meticulously preps, scans, and indexes customer medical information into the Electronic Health Record (EHR) system to assist in the timely completion of an accurate medical record.
- Prepares, reviews and processes all release of information requests according to regulatory and department policies governing disclosure of information.
- Maintains the timely completion and management of multiple work queues within the EHR and in other applications as assigned.
- Verifies and activates health care directives and health care agent/guardianship in the EHR.
- Enables MyChart to facilitate patient requests to access records.
- Complies with regulatory audits and appeals using each requesters' software to deliver the medical records in a timely manner and in the requesters' required format while following all applicable privacy laws.
- Analyzes medical record for accuracy and completeness of record and assigns any deficiency to appropriate clinician for completion utilizing record deficiency system. Obtains missing documentation from outside facilities to complete the record.
- Functions as a resource for the organization for any medical record disclosure questions.
- Maintains logs of hospital and clinic records at multiple offsite storage locations and requests charts as needed for patient care and release of information.
- Works collaboratively with the business office to capture revenue generated from release of information
- Comprehends and efficiently utilizes multiple EHRs related to job functions.
- Ensures the quality of the Electronic Health Record through indexing and quality reviews.
- Accepts other duties as assigned to promote the accomplishment of organizational goals.

Education
- High School graduate or equivalent required.
- Associate Degree in Health Information Management or a related field preferred.
Experience, Knowledge, Skills, Abilities
- Successful completion of medical terminology or secretarial course preferred.
- One year office experience preferred.
- Customer service experience preferred.
- Experience in Windows networked environment.
- Knowledge of privacy requirements for health information preferred.
- Ability to work as a team member and also independently, strong interpersonal skills, strong written and verbal communication skills.
- Demonstrated organizational, logical, analytical, written and verbal communication skills.
- Knowledge of medical terminology preferred.
- Proficient in MS-Excel, MS-Word and email.
- Demonstrates customer oriented environment.
- Ability to work with customers, providers, law enforcement and attorneys.
