Dynamic startup is looking for an individual to ensure the smooth running of our office in NYC.

The job has 3 primary components: 1 ) Responsible for providing comprehensive support in the day-to-day operations of Human Resource. 2) Work closely with other departments to provide customer-focused, effective HR (and related) services to the organization to achieve the organization's goals and objectives, and 3) Responsible for ensuring that administrative activities relating to the office, policies and procedures are efficiently addressed.

Responsibilities:

HR Administrator Role:

  • Assist in the recruitment process, including scheduling of candidate interviews, liaising between hiring managers, recruiters and candidates
  • Update website with new hires, new articles, job ads and Exos Linkedin posts
  • Handle onboarding in Workday; maintain HR databases, i.e. background checks, registrations, fingerprints, etc.
  • Assist with new hire orientation and training of new employees
  • Assist HR team in ensuring that our HR data is correct
  • Prepare HR documents, such as employment contracts and new hire guides
  • Organize and coordinate corporate events
  • Manage scheduling of firm-wide training
  • Work on other firm projects as needed

Office Manager Role:

  • Develop and implement office policies by establishing and maintaining procedures and standards to guide the operation of the office (visitor protocol, conference room protocol, office supplies, kitchen protocol, etc.)
  • Provide general support for visitors
  • Manage relationship, contract and price negotiations with all vendors and service providers related to the office space and building (broker, security, building, cleaning, HVAC, water, etc.)
  • Manage COVID-19 testing process
  • Administrative help for firm-wide projects (i.e. help with presentations, sending documents out for electronic signature, etc.)
  • Support Technology Infrastructure team regarding stock and equipment management

Education and Experience Requirements:

  • The ideal candidate is looking for a fast-paced environment
  • At least 3 years of office and/or HR administrative experience
  • Undergraduate college degree
  • Familiarity with an HRIS system, preferably Workday
  • Ability to follow up without oversight
  • Proactive and autonomous
  • Proven office management, administrative, and/or assistant experience
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in Gmail, Google Drive, Google Sheets/Docs/Slides, Adobe or DocuSign
  • Technology driven, staying up to date on the newest technology to automate procedures
