Summary:

Under the direction of the Human Resources Manager, the Human Resources Generalist provides operational support and assists in the administration of the Human Resources Department, while ensuring compliance with all Federal and State employment laws and record-keeping requirements. This position primarily supports the following areas: workforce planning and employment, total rewards & payroll and human resources information & metrics.

Responsibilities:

The below essential functions are representative of major duties of positions in this job classification. Specific duties and responsibilities may vary based upon departmental needs. Other duties may be assigned similar to those identified below consistent with the knowledge skills and abilities required for the job.

Human Resources Administration & Operations

  • Assists the Human Resources Manager in the day-to-day functions of the Human Resources Department.
  • First point of contact for the Human Resources Department.
  • Assists Supervisors/Managers and general employees with HR Questions.
  • Maintains all required HR documents for current and terminated employees, and contractors (e.g., I-9, criminal background checks, etc.).
  • Assist with maintenance of human resources department Intranet.
  • Reviews HR Invoices for accuracy and resolves discrepancies then provides to the Chief Human Resources Officer for payment approval.
  • Coordinates special functions (as directed by the Human Resources Manager or Chief Human Resources Officer).
  • As directed by the Human Resources Manager or Chief Human Resources Officer, supports Employee Engagement and Retention initiatives.
  • Conducts HR Reporting.
  • Supports all HR Department Logic Model initiatives.

Functional Areas

The following tasks are performed under the general management of this position’s direct supervisor.

Workforce Planning & Employment

  • Assists with job announcement development and placement through identified sourcing methods.
  • Recruits for assigned programs/divisions, and provides support to hiring managers for candidate selection, etc.
  • Assists with administration of the Applicant Tracking System (ATS) and provides hiring managers with support (as needed).
  • Ensures that pre-hire and annual post-hire requirements are completed and maintained for all employees (i.e., criminal background checks, TB screens, drug screens, etc.).
  • Administers the HR pre-onboarding process, which includes paperwork completion, and I-9 verification through E-Verify.
  • Facilitates orientation (includes scheduling new hires, set-up, etc.).
  • Creates and maintains the paper and/or electronic files for current and terminated employees, and contractors.
  • Completes employment verifications and reference requests.
  • Initiates unemployment claim responses.
  • Prepares organizational chart and staffing reports.
  • Ensures labor law postings are current for the organization (all locations).

Total Rewards & Payroll

  • Administers the benefit enrollment process for new hires, qualifying events, terminations, etc.
  • Administers benefit programs to employees, including handling employee problems, billing procedures, supporting open enrollment, and ensuring compliance.
  • As directed supports total reward initiatives.
  • Audit time and attendance records.
  • Completes payroll data entry.
  • Supports payroll processing, etc.

Human Resources Information Systems & Metrics

  • Research and present process improvements to increase automation and reduce redundancy.
  • Supports the implementation and integration of all acquired information technology and information systems for the department.
  • Develops and generates assigned reports on analytics, metrics, and key performance indicators
  • Audits data management system for record accuracy and to ensure data integrity.

Other

  • Adheres to Friendship Place’s employment, confidentiality, and code of
  • ethics agreements.
  • Maintains professional competence through participation in continuing education programs, seminars, and training programs.
  • Recommends equipment and supply needs of the Human Resources Department.
  • Works in partnership with Human Resources Manager
  • Handles all other functions as needed by the Human Resources Manager or Chief Human Resources Officer.
Requirements:

Background & Qualifications:

  • Associate’s degree and one to three years of providing administrative Human Resources support.
  • SHRM-CP or PHR certification helpful.
  • Payroll data entry and processing experience.
  • HRIS data entry and electronic file document management experience.
  • Knowledge of current Federal and State employment laws.
  • Must be able to speak, read and write competently in English.
  • Good oral and written communication skills.
  • Service driven and a positive attitude.
  • Personable and approachable.
  • Good attendance record.
  • Comfortable with presenting in small and large groups.
  • Must be able to maintain positive and professional relationships and interactions with our internal customers (employees, supervisors/managers, and leadership team), and external customers (regulatory agencies, etc.).

Desired:

  • Bachelor’s degree, preferably in Business or Human Resources and one year of recent direct work experience as a Human Resources Generalist.
  • Current professional credentials from the HR Certification Institute (HRCI) and/or Society for Human Resource Management (SHRM) or must obtain certification within six (6) months of employment.
  • Prior experience working in a small Human Resources Department at a growing company.
  • Prior Human Service and/or Non-profit work experience.
  • Prior office/administrative experience.

Physical & Environmental Requirements:

Being able to maintain a flexible schedule Monday – Friday with flexibility to accommodate occasional extended hours when working on operational/project needs.

Background Checks:

The selected candidate will be required to pass a criminal history background check and fingerprinting.

Specific Requirements:

The employee must have a valid driver’s license.

Other Details:

  • Application Deadline: This job is open until filled, or the hiring manager determines that they can no longer accept applications.
  • Compensation: The hiring pay range is between 55,000.00 – 63,000.00 annually. Depending on the position, the starting hourly pay rate or annual salary is based on a step system. A candidate’s starting pay determination is made based on meeting the basic position requirements, and current completed education, credentials and/or work experience. Please Note: The step system is set and not open to pay negotiation. Before moving forward in the selection process, interested applicants are encouraged to discuss starting pay eligibility with the Human Resources (Talent) Department.
