The Information Specialist schedules programs, completes reports, assists the Nature Center Manager, and monitors the public areas of the nature center.

Essential Functions:

  • Regular and predictable attendance is expected and required. All Cleveland Metroparks employees must be prepared to work flexible schedules, including evenings, weekends, and/or holidays as required.
  • Schedules educational programs, staff, volunteers, and rooms: Coordinates schedules using calendar software, updates staff schedule to host social rentals and staff the building for early and/or late programming needs, monitors paperwork and room set ups for rentals, partner facility use, and educational programs, monitors the front desk volunteer schedule.
  • Performs administrative and daily operational coordination along with Center Manager and staff: Opens and closes the building as needed, assists in maintaining cleanliness and organization of nature center, refills supplies.
  • Oversees bookkeeping and purchasing: Purchases supplies and a variety items using purchase order numbers associated with bids, or going to the store using company credit card, tracks budget and monitors financial reports for accuracy, stamps, codes, and requests appropriate approvals for all invoices, issues customer receipts, collects donations, takes deposit to bank, submits revenue reports, and requests customer refunds when needed.
  • Reports and tracks attendance numbers for programs, facility use and walk-ins: Gathers and enters attendance numbers for each program, rental, and facility use into web-based software (Attendance Database), manages web-based and call in registrations, designs forms and procedures to ensure smooth center function and processes.
  • Provides quality customer service to internal and external customers, including partner organizations and center visitors: Provides front desk coverage as needed, provides information regarding all aspects of Cleveland Metroparks, park policies, and procedures to coworkers, volunteers and center guests, takes messages when needed, assists with continuous training of volunteers, addresses, directs, and responds to email and phone inquiries, gives directions to a wide variety of park locations.
  • Assists with monthly program publication (Emerald Necklace): edits publication write-ups for consistency and current policy, adds programs to Cleveland Metroparks website, including use of photos, manages photo database with assistance from volunteers and coworkers, and monitors Facebook promotion of upcoming programs.
  • Attends meetings, updates reports, and seeks current information to comply with park policies: Submits reports as required by park policy; oversees records retention of documents and waivers in accordance with park district polices, attends training meetings, including CPR certification, Info Spec meetings, financial trainings and other trainings as needed.
  • Keeps direct supervisor promptly informed of key/significant issues or concerns.
  • Carries out duties and responsibilities in a safe and efficient manner to maintain a safe work environment and surrounding area for oneself, co-workers and public. Responds to hazardous situations and/or potentially unsafe conditions by taking corrective action as capable and promptly notifying supervisory personnel.
  • Updates and enhances own knowledge by involvement in continuing education for professional growth (i.e., attends relevant conferences, seminars, in-service trainings, and certification programs)
  • Performs related duties as assigned or apparent.
Requirements:
  • High School Diploma or GED required supplemented by three years of experience in office management, professional communications, or customer service; or any equivalent combination of education, training, and experience which
  • Must have a valid driver's license under the laws of the State of Ohio.
  • Ability to develop and maintain effective working relationships with stakeholders, including employees and the general public.
  • Ability to speak and write clearly, concisely and persuasively using correct grammar, spelling and punctuation with ability to communicate one-on-one or in group settings.
  • Ability to perform work with a high degree of accuracy and organization.
  • Management skills and strong business acumen, including problem solving, vision, ability to manage multiple programs and meet deadlines, collaboration, leadership, decision making and ability to analyze diverse facts and develop clear and concise reports and recommendations.
  • Ability to work cooperatively with others.
  • Proficiency in software programs including all Microsoft Office programs.
  • Mature professional attitude and considerable discretion, including ability to manage confidential information.
  • Ability to perform with considerable independence and initiative.

Work Schedule: Typically Monday through Friday but must be available to work a flexible schedule to include days, evenings, weekends and holidays, if necessary
