We are searching for an intake specialist who works well in a fast-paced setting. In this position, you’ll assist the pharmacy in processing new referrals, check insurance benefits and apply for prior auth.

An ideal candidate has great communication skills, attention to detail, ability to multi-task & work independently, take-charge personality, and has a professional appearance. There is room to grow in this position for the right candidate!

Job Summary

  • Answer multi-line phone system
  • Verify patient information with case manager or physician office & input in Vital system
  • Coordinate care with family/caregivers
  • Track physician orders & input in Vital system in a timely manner
  • Manage & track medical supply inventory
  • Other administrative duties as assigned by PIC

Job Description

Minimum Qualifications

Education: · Bachelor’s degree in business or sciences recommended but not required. Previous work experience can be substituted for this degree. Medical background and business experience are desirable.

Well-developed problem solving and decision-making skills are required. Professional appearance is required. Ability to prioritize and accurately complete multiple projects. Excellent written and verbal communication skills.

Licenses/Certifications: Licensed as a registered Pharmacy Technician or Pharmacist Intern in the State of Texas preferred but not required.

Experience / Knowledge / Skills:

  • One (1) year experience in specialty, hospital pharmacy, preferably home infusion.
  • Demonstrated attention to detail in completing tasks
  • Ability to efficiently complete multiple daily work assignments while operating independently
  • Ability to work cross-functionally to solve problems and improve quality and service
  • Knowledge of medical and pharmaceutical terminology
  • Demonstrated experience in customer service
  • Functional skills with the Microsoft Office Suite of products (Excel, Access, Word, Powerpoint)
  • Strong interpersonal and communication skills
  • Experience in specialty pharmacy or pharmacy benefit management preferred

Principal Accountabilities

  • Collects and communicates all relevant patient referral data to support and facilitate the insurance verification process.
  • Receives necessary documents: face-to-face encounter, H&P, and other pertinent information to facilitate and meet insurance as well as state and federal regulatory requirements.
  • Verifies insurance and benefits. Requests authorization, if needed.
  • Coordinates and documents information with regards to patient admission, transfers, discharges, notifications and sharing this information to appropriate patients/family members, contracted agency staff, field staff and other multidisciplinary team members.
  • Schedules and coordinates nursing and therapy care. Checks patient’s calendar weekly for correct frequencies and if visits are plotted on calendar, adjusting according to orders.
  • Coordinates patient care between office and field staff.
  • Ensures patients records are maintained in accordance to billing policy and procedure.
  • Enters and processes claims accurately, for new/ refill prescriptions including resolving rejected claims.
  • Works seamlessly in the pharmacy to serve patients both face-to-face and over the phone as needed.
  • Reviews all pertinent medical documentation from physician offices and other healthcare facilities.
  • Clarifies prescription orders with pharmacist and/or clinician as appropriate.
  • Assists to resolve insurance related issues, including prior authorizations (PAs), and assists patients with various forms of financial assistance.
  • Assists pharmacist with the retrieval of prescription files, patient files, and other such records pertaining to the practice of pharmacy.
  • Answers, resolves, and triages inbound inquiries on the telephone.
  • Performs pharmaceutical calculations.
  • Communicates directly with patients to assist them with medication awareness. Reports errors, omissions or incidents to pharmacist.
  • Maintains productivity rates and meets quality expectations determined by management. Communicates with various pharmacy team members as needed to coordinate timely prescription dispensing. Participates in staff meetings and helps with special projects. Complies with all regulatory requirements, including HIPAA/HITECH.
  • Promotes individual professional growth and development by meeting requirements for mandatory/continuing education and skills competency; supports department-based goals which contribute to the success of the organization; serves as preceptor, mentor and resource to less experienced staff.
  • Other duties as assigned.
