Purpose: The purpose of this position is to oversee all aspects of the customer service processes for PSI including but not limited to receiving orders, entering orders into our systems, managing inventories, arranging logistics and assuring that our customers are satisfied with quality product in a timely manner. This will be achieved through phone calls and emails from our headquarters location.
Responsible for: A. Account Management
- Manage customer email accounts and phone correspondences for assigned customers in a timely and professional manner.
- Open and maintain customer accounts by recording account information.
- Receive and enter incoming requests and orders for assigned accounts into our ERP system and verify accuracy of PO’s.
- Resolve product or service problems, expedite corrections or adjustments, and follow up to ensure resolutions have occurred.
- Research third-party cold storage facilities, obtain and analyze pricing for review, and handle new vendor account setup.
- Work with manufacturing teams to manage freezer inventories at proper levels given customers’ forecasts.
- Manage and balance inventory of third-party warehouses by tracking all inbound and outbound shipments.
- Invoice customers for recurring storage fees.
- Approve vendor invoices and dispute when necessary.
- Assist Accounts Receivable department with follow up on overdue invoices when necessary.
- Assist with new customer projects as they arise.
B. Logistics Coordination
- Obtain transportation quotes for LTL (Less Than Truckload) shipments and arrange shipments.
- Schedule FTL (Full Truckload) freight to customers and third-party warehouses.
- Request POD’s (Proof of Delivery) when required.
- Research freight discrepancies between carrier and in-house records.
- File freight claims for damaged product due to transit issues as needed.
- Research and identify new freight carriers, obtain pricing, and manage new vendor account setup.
C. General Customer Service/Office
- Interact with customers and vendors via inbound telephone calls to provide information and assistance and troubleshoot issues as they arise while providing the highest level of customer service
- Answer phone calls as they come into the main office line and direct to the appropriate personnel or supply resolution to the inquiries.
Requirements:
- Computer Literacy with emphasized proficiency in Microsoft Outlook, Word, Excel, and Google Docs · Excellent customer service skills in both oral and written communication
- Ability to multi-task, prioritize and manage time effectively with a positive attitude while under pressure.

Education and Qualifications:
The Customer Service Representative (he/she) will have bachelor’s degree or equivalent 5 years proven work experience in a production/manufacturing environment to qualify for the position.
