POSITION SUMMARY

The Leasing Coordinator facilitates, and monitors activities related to the leasing process and supports the Senior Director of Leasing with responsibilities related to lease documentation and information to ensure compliance with lease terms and financial obligations.

ESSENTIAL JOB FUNCTIONS

Lease Management

  • Assist with documentation preparation (e.g. first drafts of estoppels, first right (or offer) to purchase letters and option letters).
  • Preparation and/or response to Estoppels, Non-Disturbance Agreements, Estoppels, Landlord’s Consents and Lease Terminations.
  • Communicate with accounting related to the collection of unpaid subtenant rents and resolution of a large variety of subtenant issues.
  • Abstraction of leases and other documents associated with leases.
  • Certificates of Insurance compliance and ordering/requesting revised/updated certificates for company operated properties and for third party subleases.
  • Updating of accounting database – currently ProLease although we plan on switching to Lucernex. Communication and documentation of rent commencements for new leases and Subleases.
Property Management Activities

  • Assist Facilities Department with document review and maintenance questions.
  • Communicate with landlords and property managers for consent issues and day-to-day operations.
  • Problem solving for property management issues including verification of CAM charges.
resolution of a large variety of subtenant issues.

Acquisition Activities

  • Assist with tracking timeframes provided in lease/purchase acquisition agreements upon full execution.
  • Assist with title ordering and review (including large centers with numerous CC&Rs)
  • Obtain all ancillary documents provided for in the lease/purchase acquisition agreements and assure recordation as required.
  • Problem solving on a variety of real estate matters.
  • Certificates of Insurance compliance and ordering/requesting revised/updated certificates for company operated properties and for third party subleases.
KNOWLEDGE, SKILLS AND EXPERIENCE

  • Two years intermediate level real estate management
  • Minimum of 5 years of experience working in an office environment
  • Strong written communication and organizational skills
  • Detail, result and deadline oriented with professional demeanor
  • Independent self-starter
  • Flexible and ability to adapt to rapidly changing priorities
  • Notary.
  • Knowledge of commercial insurance helpful.
TECHNICAL SKILLS

PC Skills - Strong Knowledge

  • Microsoft Office Suite, PowerPoint, Excel, Word and Outlook
PHYSICAL REQUIREMENTS/ENVIRONMENT / WORKING CONDITIONS

  • Office environment. Extended periods of sitting, typing and looking at a computer screen. May also require some reaching, bending, and lifting.
