Job Summary and Responsibilities/Duties

Basic Job Purpose/Function:
Provides customer service and technical support to students, staff and faculty at the library public service and student help desk. Facilitates the borrowing and lending of materials within resource sharing. Collaborates with the Dean in organizing and directing the activities of student employees. Responds to a wide variety of user needs ranging from providing research assistance to billing and mediating charges. May be responsible for opening and closing library, supervising part time student employees, securing library facilities, running reports, assisting in monitoring budgets; and actively contributing to department/program planning, goal-setting, and performance.

Essential Duties:


  • Provides customer service to students, faculty, staff and community members using the library.
  • Performs all duties necessary to open, close, and secure the library facility.
  • Responsible for the daily check-in, processing and filing of the circulating and course reserve collection.
  • Provides information and assistance in the use of student printing system, photocopy equipment, lab computers, electronic equipment, and staff office equipment; contacts internal or external sources for maintenance as needed.
  • Responds to public service situations in the library with minimum guidance and direction. Works independently and takes initiative to ensure that the library runs smoothly and patrons are supported.
  • Operates the Online Computer Library Center (OCLC) and regional database to respond to user requests for resource sharing. Develops and maintains partnerships with resource sharing departments throughout the nation to meet the educational needs of library patrons.
  • Handles resource sharing processes including the submission of requests into or out of the national database. Solves problems, requests loan extensions, bills and mediates charges for patrons for patrons of a large multi-state consortium of libraries through a collective database.
  • Performs initial search of appropriate websites and databases to verify and locate resources before initiating a formal borrowing request. Creates and submits specialized requests when materials cannot be located through the web or subscription databases. Receives and transmits requests; uses integrated library software to track materials.
  • Supports quality and copyright control for resource sharing transactions; performs daily maintenance of various resource sharing software applications; updates resource sharing records using consortial software. Creates and manages resource sharing statistics and related reports using the library’s integrated system and other software.
  • Assists in the training and coordination of federal work study student employees in public services and the student help desk. Assists in maintaining and editing training materials for staff and students.
  • Assists in resolving student account issues and refers to appropriate campus resources.
  • Works with Dean to develop and review annual and term schedules for full time and part-time staffing of multiple service points.
  • Tracks grant applications and awards for foundation and state grant opportunities for faculty involved in Open Educational Resources and Textbook Affordability initiatives.
  • Organizes and maintains departmental electronic files and shared drives. Runs reports on program data and student information via Cognos and CX.
  • Maintains strict confidentiality of patron records, student records and other personal information related to areas of responsibility.
Additional Duties:
  • Assists the Dean with library program development and planning.
  • Assists with the marketing and promotion of library services.
  • Schedules meetings and rooms, prepares meeting agendas, and takes notes during library meetings.
  • Develops, reviews, and recommends office policies and procedures. Prepares procedural manuals, forms, and other related materials.
  • May attend professional meetings, workshops or classes in areas of responsibility.
  • Compiles and organizes data collection for accreditation. Acts as a liaison between department and the Analytics and Institutional Research (AIR) Office in building reports and gathering data.
  • Assists the Dean, Coordinators, and Faculty Librarians with special projects.
  • Participates in college wide committees and councils.
  • Performs all other related duties as assigned.

Minimum and Desired Qualifications

Minimum Qualifications:


  • Associate’s degree
  • Three (3) years of relevant library experience
  • Intermediate experience with Microsoft Word, Excel, and Outlook
  • Intermediate knowledge of library databases, integrated library systems, and internet search techniques.
  • Experience working with diverse backgrounds of the college’s community, students and employees; demonstrated commitment to promoting access and diversity. At the college’s discretion, additional education/experience may be substituted for experience/education on a year-for-year basis.
Desired Qualifications:
  • Experience working in higher education
  • Bilingual oral and written skills with fluency in English and other language that meets community needs.

  • Ability to prioritize multiple projects in a high-volume, service- and student-oriented environment while under the pressure to meet deadlines.
  • Ability to work autonomously/independently.
  • Demonstrated experience and proficiency with Microsoft office software, including experience building Excel-based spreadsheets.
  • Intermediate knowledge of library databases, integrated library systems, internet search techniques and technical knowledge of OCLC, NRE and Ariel software.
  • Demonstrated experience working in a high-volume professional office setting with complex and sensitive data within student information systems and data management systems.
  • Demonstrated discretion, personal integrity, and superior ethics as this position deals with confidential and sensitive information covered under federal FERPA guidelines.
  • Excellent customer service skills including the ability to work with diverse student populations.
  • Excellent interpersonal and diplomacy skills.
  • Excellent oral and written communication skills
  • Excellent organizational skills and demonstrated ability to perform detailed work with a high degree of accuracy.
  • Knowledge of basic accounting practices to track budget and expenditures.

Working Conditions:
Work is typically performed in a normal office environment while sitting at a computer terminal. Repetitive hand and wrist motion for data-entry and keyboarding functions. Occasional strain to the eyes while working with a computer terminal. Frequent interruption or change in workflow is expected. Occasional exposure to difficult or potentially dangerous situations and/or customers especially when working as the in-charge person.

Salary:
Initial salary placement will be based on years of relevant full-time equivalent experience at the sole discretion of the College, per the guidelines in the applicable Handbook or Collective Bargaining Agreement.
