Position Summary:

Reporting to the Director of Health and Wellness, the Medical Assistant is responsible for providing full administrative clerical support to the providers and nurses of the Shrub Oak International School. The medical assistant works closely with students and their families, caregivers, medical professionals and other service or health care providers to ensure that student’s medication, records and information are received and maintained by Shrub Oak International so that Health and Wellness professionals can provide a high level of continuous care. As such, a strong ability to communicate with the parents and families of our students in a consistent and professional manner is essential. Having access to confidential information, discretion and independent judgement is required.

Essential Functions- Primary duties of the position

· Performing data entry into Electronic Medical Records

· Scheduling appointments and follow up appointments with community medical professionals

· Transporting students to and from appointments

· Measuring and recording vital signs and height/weight information and enter this data into Electronic Medical Records

· Answering phone calls within the Health and Wellness Department and accurately relaying messages

· Supporting and coordinating projects and researching data

· Ordering medical supplies for the department for restock

· Effectively communicating with parent, vendors, providers, insurance companies and others to support the department and our students’ needs

· Picking up medications and supplies from local pharmacies and suppliers

· Perform any and all responsibilities as required

Minimum Experience and Qualifications

· Current Medical Assistant Certification (Preferred) or related certification

· Min 3 year experience as medical/clerical assistant

· Current and Valid driver's license in good standing, with a safety record satisfactory to drive Shrub Oak vehicles

Competencies

· Working knowledge of Electronic Medical Records and guidelines

· Working knowledge of infectious disease prevention and applicable OSHA regulations

· Working knowledge of computer programs including Excel and Microsoft programs, with the ability to learn and use our internal programs

· Detail oriented, superior organizational skills, with an ability to manage multiple priorities, work through interruptions to remain on task, and handle stressful situations

· Exceptional communication (oral and written) skills, with the ability to actively listen to appropriately understand and interact with faculty, staff, families, professionals and providers and all external constituencies

· Solid analytical capabilities, with a demonstrated ability to understand and problem solve

· Ability to adapt and remain flexible

· Demonstrate ability to have a sense of urgency, and make sound recommendations, and routine decisions based upon the situation, and at times, under pressure where situations are continually evolving

· Ability to multi-task and handle multiple situations with discretion, and sensitivity to a variety of factors, while exercising sound judgment.

· Demonstrates the ability to achieve desired results working collaboratively in a dynamic environment with multiple stakeholders while being sensitive and responsive to the diverse needs of students, families, faculty, and staff, with a high degree of cultural competency and collegiality.

Schedule: Multiple shifts available including weekdays (M-F, 3p-11p) and weekend mornings (Sa & Sun, 7a-3p) and evenings (Sa & Sun, 3p-11p)

Work Environment

Must be able to participate and work in all areas of the campus, indoors and outdoors

Physical / Mental Demands

Must be able to lift 20 pounds and be able to sit at a desk for extended periods with good range of motion. Other parameters include climbing stairs, walking, squatting, kneeling and driving. Employee is expected to make quick routine decisions, read and write, speak publicly and interpret data.
