Description

The Billing & Clinic Coordinator is responsible for executing physical therapy billing operations, and clinic coordination. This position also fills-in at the front desk when the Front Office Coordinator is not available. In addition, the Billing Coordinator plays an important role on our HIPAA, and corporate compliance programs, and assists with marketing activities, and clinical staff as needed.

This position is responsible for maintaining a consistent flow in the daily billing operations of the clinic by promptly billing physical therapy charges and collecting and posting physical therapy payments. This will be accomplished while providing excellent customer service, communicating effectively with fellow employees, physician offices, patients and insurance companies, and efficiently handling all tasks related to claims and billing.

In addition, the Billing & Clinic Coordinator is responsible for monitoring and ensuring that patient documentation and plans of care are compliant and support billed charges, and for responding and documenting in a compliant manner to patient records requests.

Below is a short description of some of the responsibilities for this position.

Billing & Clinic Coordinator

This role is primarily dedicated to physical therapy billing, clinic coordination and compliance. But it also includes front desk receptionist duties and supervision, office supply purchasing, assisting clinicians, and marketing activities.

Tasks include:

  • Obtaining health insurance benefits and physical therapy coverage for our patients.
  • Creating Benefit letters and explaining coverage terms to our patients.
  • Obtaining pre-authorization from payers when required.
  • Ensuring that all charges are compliant, and properly reported and submitted to the appropriate payer.
  • Ensuring that patients' treatment documentation, and patients' plans of care are compliant.
  • Timely, and appropriately responding to, and documenting patient records requests.
  • HIPAA compliance coordination.
  • Policy and Procedures Manual development and updates.
  • Setting up patient files on our documentation and billing software.
  • Staying up to date in coding guidelines, rules and regulations, and communicate and enforce compliance.
  • Reporting on insurance matters and areas for improvement on our staff meetings.
  • Creating a weekly active patient list indicating precertification and visit limit status.
  • Electronically billing insurance claims
  • Posting ERAs and EOBs
  • Billing secondary claims to health Insurance payers.
  • Reviewing claims for correct payment and follow up on incorrectly paid claims.
  • Posting patient and insurance payments.
  • Creating and mailing patient statements.
  • Conducting payment files archiving.
  • Clarify any questions that patients may have regarding their insurance benefits, payments and balance statements.
  • Answering the phone when the Front Office Coordinator is not able to pick up a call.
  • Ordering office supplies.
  • Patient schedule coordination
  • General office operations coordination

The Billing & Clinic Coordinator facilitates smooth and efficient office operations by identifying, preventing, and addressing issues that may interfere with optimal work flow, and efficiently communicating with patients, vendors, staff and management.

This position also fills in at the front desk when the Front Office Coordinator is not available. When covering the front desk, the Billing & Clinic Coordinator will perform the Front Office Coordinator tasks, including answering phones, scheduling patients, checking patients in, managing the patient flow into the office, collecting copays and any other tasks related to managing the front desk.

In addition, from time to time, and as needed, the Billing & Clinic Coordinator will assist with duties related to patient care as a technician assisting clinical staff with laundry, table sanitation and other related duties. The Billing Coordinator also assists with promotional and marketing efforts, maintaining our patient list, creating labels for mailings and other related activities.

Duties may at any time be expanded or reduced, depending upon management decisions regarding the structure and flow of the workload of the organization.

Requirements

  • Medical billing education, and experience
  • Medical front office customer service experience.
  • Excellent verbal and written communication skills.
  • Good typing skills, and proficient calculating numbers.
  • Proficient at Microsoft Office Word, Excel, and Outlook.
  • Organized, energetic multitasker, and ability to prioritize.
  • A desire to help others, and work in a team environment

Preferred Qualifications

  • Physical Therapy billing experience.
  • WebPT and Therabill experience.
