Program Assistant will support program staff in conducting all programmatic and administrative services, such as: prepare and type a variety of non-routine/complex correspondence, forms, reports, and similar items using a personal computer and MS Word software; answer phones and greet clients; coordinate events (including venues, food, translation, and childcare, and ensures office is opened and closed in a timely routine.

ESSENTIAL DUTIES & RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Work as part of the LAEP employee team based in the Northeast Valley area, focused
  • on building community partnership to support and promote the safety, healthy development and well- being of children prenatal to age 5 and their families in their community.
  • Assemble and facilitate a neighborhood partnership to identify unique needs and priorities of community.
  • Assist in identifying members to participate in the partnership meetings.
  • Administrative support to Manager and NEV team, and communication support to community members.
  • General clerical duties: answering phones, filing, equipment set-up, scheduling and coordinating events, preparation of correspondence, documents, forms, notes and spread sheets.
  • Assist with development of communication and public relationship materials.
  • Process check request, invoices and maintain log.
  • Assist management team with imputing data, filing, outreach.
  • Order necessary materials, maintain supply level and inventory.
  • Coordinate venues for community meetings (location, & food).
  • Document services, time and expenses in accordance with LAEP policies, rules, regulations, and program procedures.
  • Support coordination and implementation of training, meetings, activities and events.
  • Connect prospective clients with appropriate staff member; refers callers to appropriate resources and other community agencies
  • Demonstrate ability to work independently and as an effective member of a multidisciplinary team.
  • Maintain a professional attitude, confidentiality, and respect cultural differences.
  • Work flexible hours in order to meet the needs of families and staff (e.g., evenings or Saturdays).
  • Perform other duties as assigned
SUPERVISORY RESPONSIBILITY

No supervisory responsibilities.

QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

  • High school diploma or GED, AA or certificate of completion in a secretarial field preferred.
  • 1-2 years of work experience or closely related position; working knowledge of standard office practices and equipment; office organization skills to ensure smooth running of office
  • Strong communication and organizational skills and interpersonal.
  • Good computer skills required. Proficient in Microsoft Office (Word and Excel)
  • Minimum typing skills at 45 WPM, preferred.
  • Able to take initiative and multitask
LICENSING AND CERTIFICATIONS (IF APPLICABLE)

  • Daily driving is required. Must provide own vehicle, valid Driver's License and proof of full vehicle insurance coverage
  • Negative tuberculosis screen required
  • Hepatitis B Vaccination (recommended)
  • Must pass a criminal background check.
